Office Assistant

We are seeking a proactive and organized professional with a strong people-oriented mindset to join our growing team as an Office Assistant. As a key member of our team, you will handle diverse responsibilities across Sales, Office Management, and HR, supporting the success and positive culture of our organization.

Optics11 is the world leader in fiber optic sensing technology for ultra-sensitive early warning systems. Operating from the Netherlands, a country renowned for high-tech industry and maritime innovation, Optics11 works passionately to help protect our sea-lanes, critical offshore infrastructure, and energy supply against disruption.

Responsibilities:

Sales & Marketing Support

• Manage the CRM system and prepare reports.

• Oversee the sales inbox and ensure timely responses.

• Organize travel and events, occasionally attending conferences.

Office Management

• Support the Management Team (MT) with agenda coordination.

• Coordinate office activities, including team events, internal/external meetings, and lunches.

• Act as the main point of contact for facilities and manage office inventory.

HR Support

• Provide ad hoc HR assistance, including handling sick leave notifications and personnel changes.

• Support recruitment processes, onboarding, and employee lifecycle activities.

• Assist in HR reporting and dashboard creation.

Requirements:

• You have at least an HBO-level education.

• At least 3 years of experience in a similar supporting role (e.g., management assistant, project assistant, team coordinator).

• Excellent proficiency in English, both written and spoken.

• Dutch language skills are a significant advantage.

• Experience in a fast-paced, technical environment with strong attention to detail.

• Facilitative, supportive, and solution-oriented mindset.

• Enthusiastic, flexible, and resilient under pressure.

• Ability to set priorities effectively and adapt to changing needs.

• Team player who enjoys supporting and collaborating with others.

• Skilled at managing schedules, agendas, and team coordination efficiently.

Note: We are seeking candidates who are already residing in the Netherlands.
