We pride ourselves on providing exceptional customer service, and we’re looking for a reliable, organized, and personable Office Assistant to join our team. This is an exciting opportunity to work in a fast-paced and supportive environment, where your contributions will help make a positive impact on our clients and the daily operations of the business.
Job Description:
As an Office Assistant, you will play an essential role in the smooth running of our office. Your responsibilities will include, but are not limited to:
- Customer Service: Answer customer phone calls and emails, schedule appointments, take down information for estimates, and answer general customer questions regarding septic systems.
- Septic Inspection Reports: Assist in completing septic inspection reports with accuracy and attention to detail.
- Dispatching Jobs: Dispatch jobs to service technicians, ensuring they have the necessary information and support for a successful visit. Communicate effectively with technicians and customers throughout the process.
- Payment Processing: Process customer payments for scheduled appointments and services.
- Portable Toilet Division Support: Assist with scheduling delivery of units, ensure routine maintenance is completed on time, and provide service technicians with the support they need for efficient operations.
- General Office Support: Assist other office personnel with daily administrative duties and ensure the smooth functioning of all office operations.
Please Note: This position is based in a construction office environment and requires the ability to thrive in a fast-paced, occasionally high-pressure setting. Strong communication skills and professionalism are essential. Given the nature of the industry, candidates should be comfortable with direct communication, occasional conflict, and constructive feedback. The ideal candidate will have the resilience to maintain composure, stay solution-focused, and consistently represent the company with confidence and respect.
Qualifications:
- Strong communication skills (both verbal and written)
- Excellent customer service skills and a positive attitude
- Ability to multitask and stay organized in a fast-paced environment
- Comfortable with computers and office software (e.g., Quickbooks, email, and scheduling software) Office operates on Apple Mac desktop computers
- Ability to work independently as well as part of a team
- Previous office or administrative experience is a plus
- Knowledge of septic systems or portable toilets is a plus but not required
