We’re looking for an experienced, confident and down-to-earth Executive Assistant / Office Manager to support our CEO and leadership team, and to keep our Rhodes office running seamlessly.
This is a hands-on, people-focused role for someone who can manage a board meeting one minute and organise catering or visitor parking the next.

Description:
What you’ll do:
- Provide executive support to the CEO, including diary management, meeting coordination, board pack preparation and domestic/international travel bookings.
- Assist other members of the C-Suite with occasional travel or logistics support, ensuring cost-effective options and prompt responses.
- Coordinate cross-site meetings and logistics when executives travel.
- Screen the shared Perfection Fresh inbox and manage reception phone calls, responding to or redirecting enquiries promptly.
- Act as the central point of contact for the Rhodes office, phones, visitors, mail, couriers and supplies.
- Organise car park allocations for guests (e.g. clients, board members), greet and assist visitors, and maintain a professional, welcoming environment.
- Oversee travel bookings and accommodation for other PFA staff who may not have company credit cards, obtaining manager approval as required.
- Liaise with building management, cleaners and service providers to keep everything running smoothly — and ensure contractors meet daily expectations.
- Manage office and kitchen supplies, stationery, and uniform inventory across Rhodes, Warehouse Z and Homebush sites, ensuring adequate stock levels.
- Maintain kitchen appliances (e.g. coffee machine), coordinate repairs, and ensure cleanliness and order.
- Schedule and oversee monthly fridge clean-outs, and keep office areas safe, tidy and well-maintained.
- Plan and deliver office and cultural events (morning teas, Melbourne Cup, Christmas, farewells), including ordering catering, arranging delivery and set-up, and ensuring presentation standards.
- Arrange incoming and outgoing mail and parcels, occasionally dropping off or collecting deliveries at the nearest post office.
- Manage reimbursements and expense claims (including PFA reception card) through ExpenseMe.
- Handle confidential information with discretion and professionalism.
- Bring warmth, energy and initiative to the role — someone who cares about the office mood and the small things that make a difference.
What you’ll bring:
- Proven experience in executive support and/or office management.
- Excellent organisation, attention to detail and communication skills.
- Mature approach, discretion and good judgement.
- A proactive attitude, you see what needs doing and just get it done.
- Willingness to be fully based in the Rhodes office, Monday to Friday, 8AM–4PM. Free parking provided, otherwise we’re right next to Rhodes Train Station and Rhodes Ferry.
- Flexibility to move between strategic, administrative and hands-on tasks, from managing board packs to ensuring the coffee machine works and the fridge gets cleaned out.
