Strategic Operations & Finance

Job Type: Full-Time

Role Overview:

The Office Manager (Strategic Operations & Finance) is a senior operational role responsible for managing and evolving the business’s core administrative and financial support functions. This role combines strategic foresight with day-to-day accountability for office management, financial administration, compliance, and people coordination.

By consolidating the previous Accounts Administrator responsibilities into a more senior, agile role, this position ensures both continuity in essential finance and office functions and alignment with broader company strategy and leadership.

Key Responsibilities

Strategic Operations Leadership

  • Partner with senior leadership to improve internal processes and support business growth.
  • Develop and manage cross-functional operational plans, improving systems, workflows, and vendor relationships.
  • Act as liaison between leadership, staff, suppliers, and external partners to ensure seamless operations.
  • Prepare reports, dashboards, or recommendations for senior leaders on areas such as resourcing, expenditure, and efficiency.

Office & Facilities Management

  • Oversee the smooth running of the office environment, including supplies, systems, security, and space planning.
  • Negotiate and manage contracts with office suppliers, landlords, and service providers.
  • Ensure health & safety and other compliance requirements are consistently met.

Financial Administration (Former Accounts Admin Duties)

  • Perform day-to-day bookkeeping and financial tasks, including:

· Raising and sending invoices

· Processing supplier invoices and managing payments

· Maintaining the purchase and sales ledger

· Performing bank reconciliations

· Chasing overdue payments (credit control)

  • Liaise with the external accountant or payroll provider to support monthly payroll, VAT submissions, and year-end accounts.
  • Maintain accurate and up-to-date financial records for internal tracking and external audit purposes.
  • Monitor and manage the office budget and provide financial insights to support cost control.

People Operations & Administrative Support

  • Support staff onboarding, offboarding, and general HR administration (e.g., leave tracking, benefits coordination).
  • Coordinate company events, internal communications, and well-being initiatives.
  • Act as a first point of contact for staff questions relating to systems, procedures, or internal tools.
  • Assist with tendering, estimating and business development.

Person Specification

Essential Skills & Experience

  • 5+ years’ experience in office management or senior administrative roles.
  • Solid experience in financial administration, bookkeeping, and budget management.
  • Excellent interpersonal skills with the ability to work with people across all levels.
  • Strong working knowledge of office productivity tools (e.g., Xero or other accounting software, Microsoft 365 or Google Workspace).

Desirable

  • Prior experience combining finance and office management responsibilities.
  • Working knowledge of payroll, VAT returns, and liaising with external accountants.
  • Exposure to compliance, GDPR, or basic HR policy frameworks.

Job Type: Full-time

Pay: €35,000.00-€45,000.00 per year
