About Ashley Foods

Ashley Foods has been a specialty meat and food supplier since 1984, specializing in the provision and production of high-end proteins and meat cuts for the food service, restaurant, country club, and collegiate markets. The company serves the Pennsylvania, New Jersey, Maryland, and Delaware regions with its own fleet of trucks. In December 2025, Ashley Foods relocated to a state-of-the-art production facility in King of Prussia, featuring over 70,000 square feet of processing space, cooler areas, a six-bay dock, and more than 20,000 square feet of freezer space.

Position Summary

Ashley Foods is seeking a highly organized, proactive Office Manager with Sales Experience to oversee daily office operations while supporting and enhancing sales activities. This role is critical to ensure operational efficiency, strong customer relationships, and seamless coordination between sales, finance, and operations.

The ideal candidate is detail-oriented, customer-focused, and comfortable working in a fast-paced food manufacturing/distribution environment. Prior experience supporting sales teams, managing customer accounts, and coordinating internal processes is essential.

Key Responsibilities

Office & Administrative Management

  • Oversee daily office operations to ensure efficiency and professionalism
  • Manage office supplies, vendors, and service providers
  • Maintain organized records, contracts, and documentation
  • Coordinate calendars, meetings, and internal communications
  • Support HR-related administrative tasks (onboarding paperwork, time tracking, employee records)

Sales Support & Customer Coordination

  • Serve as a primary administrative point of contact for sales-related activities
  • Assist sales team with order processing, pricing updates, customer documentation, and reporting
  • Manage customer inquiries, order status updates, and issue resolution
  • Prepare sales reports, forecasts, and performance summaries for leadership
  • Maintain CRM systems and ensure accuracy of customer and sales data

Order Processing & Coordination

  • Coordinate closely with production, logistics, and accounting to ensure timely order fulfillment
  • Review sales orders for accuracy, pricing, and compliance with company policies
  • Track open orders, back orders, and delivery schedules
  • Communicate proactively with customers regarding timelines or changes
  • Assist with invoicing, collections follow-ups, and customer account maintenance
  • Support the Controller with reconciliations, sales reporting, and documentation
  • Ensure proper filing and audit-ready organization of sales and office records

Process Improvement & Leadership Support

  • Identify opportunities to improve office workflows and sales support processes
  • Assist with implementation of new systems, tools, or procedures
  • Provide cross-functional support as needed to ensure business continuity

Qualifications & Experience

  • 2–5+ years of experience as an Office Manager, Sales Administrator, or similar role
  • Proven experience supporting a sales team or working in a sales-driven environment
  • Strong organizational, multitasking, and time-management skills
  • Excellent communication and customer service abilities
  • Experience Manufacturing/distribution environment (preferred)
  • Proficiency in Microsoft Office (Excel, Word, Outlook); ERP or CRM experience preferred
  • Tech-savvy and highly competent with Connects (or similar ERP/order management systems), including order entry, customer data management, and reporting
  • Experience in food manufacturing, distribution, or CPG environment is a plus
  • Ability to work independently while collaborating across departments

Pay: $60,000.00 - $65,000.00 per year
