Job Summary
The Onboarding Specialist plays a vital role in delivering professional, seamless experience for new agents and supporting leadership across the country. This position requires strong organization, flexibility, and proactive problem-solving.
The ideal candidate is punctual, dependable, and professional, with the ability to manage multiple tasks and shift priorities as needed. Attention to detail, follow-through, and excellent communication skills—both written and verbal—are essential.
Key to success in this role are three core strengths: accuracy, ownership of process, and relationship-building. The Onboarding Specialist is a direct reflection of our department and Fathom as a whole, and we’re committed to providing exceptional support to every new agent and team member.
Duties
- Deliver world-class customer service by assisting with the onboarding of new agents and accurately entering them into Fathom systems.
- Provide a smooth and welcoming transition by supporting new agents and resolving any onboarding-related issues that arise..
- Proactively reach out to new agents to ensure they are acclimating well and have the resources they need to succeed.
- Communicate key information clearly and effectively, ensuring agents and team members are informed of updates or issues that may impact them.
- Gain proficiency in all onboarding-related systems and tools, and confidently respond to agent questions regarding their use.
- Stay up to date and knowledgeable about all Fathom technology platforms related to onboarding in order to provide accurate and timely support.
- Respond to agent inquiries via phone, email, chat, support tickets, or in person, ensuring timely and professional assistance.
- Provide cross-functional support to other departments as needed to help serve our agents effectively.
- Maintain a strong understanding of onboarding tools, processes, and the real estate industry through ongoing learning and collaboration.
Experience
- Real Estate experience
- Experience with Google Drive, Google applications, and PDF manipulation.
- High level of professionalism and confidentiality,
- Strong written and verbal communication skills,
- Willingness and ability to effectively solve problems,
- Natural disposition to take the extra step,’
- Effective active listening, eagerness to learn, flexibility, trustworthiness,
- Internal drive to grow and succeed while still helping others, reliability

Working Hours
The Onboarding Specialists are required to devote a minimum of 40 hours per week to the position (work week is from Monday through Friday) and is responsible for ensuring that all work is completed within agreed-upon timelines, which may require additional hours above the 40 hours/week.
- Mon, Tues, Fri - 8:00am-5:00pm
- Wed, Thu - 10:00am-7:00pm

Pay: $21.63 per hour
