Primary Purpose of the Role

The Mailroom / Administration role supports the CA (Canada) Operations Team by ensuring accurate, timely administrative and mailroom processing while maintaining compliance with company policies, customer service standards, and international supply chain requirements.

The role plays a critical part in enabling operational efficiency, clear communication, and structured document handling across the CA business.

Key Accountabilities

  • Monitor shared/group mailboxes and redirect correspondence to the correct personnel
  • Answer calls for the CA main number and route calls appropriately
  • Process, delegate, colour-code, archive, and manage shared emails daily
  • Upload documentation under the correct shipments in the company’s system
  • Identify unallocated or unregistered shipments from daily emails and notify management accordingly
  • Register shipments in the company’s system and ensure accurate document archiving
  • Post approved Accounts Payable invoices and credit notes, including uploading supporting documentation
  • Maintain continuous business communication with internal and external stakeholders via email, phone, WhatsApp, WeChat, SMS, and other approved platforms
  • Utilize Microsoft Outlook, Excel, Word, and Teams to manage shared calendars, shared mailboxes, and operational workflows
  • Proactively identify opportunities to improve shared mailboxes, shared forms, systems, and administrative processes
  • Complete administrative forms and agreements for management approval where required
  • Participate in departmental and country-specific meetings
  • Participate in training as required
  • Adhere to internal policies, SOPs, and security standards
  • Conduct business in a manner that does not compromise the international supply chain or company security
  • Perform additional duties and responsibilities as assigned by Management

Qualifications & ExperienceEssential Requirements

  • Minimum 3 years Freight Forwarding experience
  • Hands-on working knowledge of CargoWise One
  • Ability to work India night shift aligned to Canada - PST hours
  • Strong understanding of freight documentation, including: (BL) (AWB / SWB) (HBL(COO)
  • Solid understanding of Incoterms
  • Strong proficiency in Microsoft Office (Outlook, Excel, Word, Teams)
  • Excellent written and verbal English communication skills
  • High attention to detail with the ability to work independently in a remote environment

Preferred Qualifications

  • Matric / Grade 12
  • College or University qualification in Logistics, International Business, or a related field
  • Relevant freight forwarding or logistics certification
