Job Title: Operations and Scheduling Coordinator

THE ROLE

As the Operations and Scheduling Coordinator, you will play a key role in the smooth day-to-day running of the activity programmes at Killary. You will be responsible for managing instructor schedules, coordinating activity programmes, liaising with schools and suppliers, and ensuring all activity related administration is completed accurately and effectively.

KEY RESPONSIBILITIES

  • Instructor rota & activity programme admin
  • Liaise with other departments on behalf of the activity office.
  • Monitoring and process incoming bookings.
  • Coordinate with external contacts such as suppliers, external activity providers etc.
  • Ensure operational readiness for incoming groups.
  • Monitor and procure supplies for activities.
  • Manage and respond to communications in multiple email inboxes.
  • Ensure all internal records are collected, processed, and stored efficiently.

SKILLS AND EXPERIENCE

The ideal candidate will have:

  • Strong organisational and administrative skills
  • Excellent communication and interpersonal skills
  • The ability to manage multiple tasks and priorities effectively
  • Strong attention to detail and accuracy
  • The ability to work independently while also contributing positively as part of a team.

Required

  • Fluent English with excellent written and verbal communication skills
  • Proven experience working in a busy administrative office or operational environment.
  • Good working knowledge of Microsoft Office, specifically Excel.

Desirable:

  • Experience in activities, hospitality, tourism, outdoor education, or adventure operations.
  • Administration or scheduling experience.
  • Knowledge of booking systems and rota management.
  • Interest in outdoor activities and adventure tourism.
  • Own transport with Full License

Job Type: Full time, permanent employment subject to probation. Off season duties may vary subject to business needs.

Schedule:

  • Monday to Friday
  • 09:00 – 17:30 daily

Work Location: In person. Leenane, Co Galway.

Pay: From €120.00 per day
