What you will do as a Operations Coordinator:
1. Rental & Service Coordination (includes Customer Service & Administrative Support)
- Assist customers with rental inquiries, agreements, service updates, and general support.
- Create, update, and close service calls; maintain accurate records and documentation.
- Manage the inbound and outbound rental process, update rental agreements, and track unit status in the system.
- Coordinate delivery, pickup, and maintenance of rental units; dispatch drivers as needed.
- Schedule in‑house repairs and mobile service calls to minimize downtime for both customers and technicians.
- Dispatch technicians and prioritize workloads according to customer needs and operational requirements.
- Maintain and update the yard map daily to ensure accurate oversight of unit locations and service status.
- Communicate regularly with customers regarding equipment availability, repair progress, ETAs, downtime/uptime, and project updates.
- Provide administrative support including data entry, billing, document control, filing, and processing invoices or statements.
- Answer incoming calls and emails, ensuring prompt, professional, and customer‑focused communication.
- Work with the Shop Supervisor / Service Manager to secure repair approvals, update customers on estimates, and coordinate project timelines.
- Maintain accurate logs including driver shunt records, inbound/outbound data, and repair tracking.
- Support operational tasks and assist with general office and service‑related duties as required.
2. Parts & Inventory Management
- Order, receive, inspect, and organize incoming parts and supplies.
- Monitor inventory levels and perform regular cycle counts to ensure availability of required parts.
- Prepare and issue purchase orders; review vendor invoices and resolve discrepancies promptly.
- Manage core returns and ensure parts are distributed to technicians, mobile units, and other departments.
- Maintain a clean and organized parts room and parts truck.
- Transfer inventory to appropriate locations and use min/max reports to guide reordering.
QUALIFICATIONS:
- Valid driver’s licence with a clean driving abstract
- Strong computer proficiency with Microsoft Excel, Word, Adobe, Microsoft 365, and Microsoft Teams
- Strong interpersonal skills and a proven track record in customer service is a must
- Excellent attention to detail and strong organizational skills
- Exceptional written and verbal communication abilities
- Ability to work well under pressure and meet tight deadlines while maintaining high service standards.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to perform basic mathematical calculations, including whole numbers, fractions, and decimals.
