Job Overview

The Operations, Investments Specialist plays a critical role in reviewing and processing investment documentation to ensure compliance, accuracy, and efficiency. This position acts as a liaison and single point of contact for clients, advisors, and asset sponsors—providing high-touch service and timely communication throughout the investment process. Attention to detail, strong communication skills, and the ability to manage multiple priorities are essential to success in this role.

Key Responsibilities

• Review and process new investment documentation to ensure completion and accuracy including promissory notes, real estate, precious metals, REITs, entities, etc. within an IRA
• Serve as the primary liaison for clients, advisors, and asset sponsors, delivering exceptional service via phone and email
• Maintain ongoing communication and status updates to all relevant parties throughout the investment cycle
• Answer incoming calls and initiate outbound communication with clients, advisors, and third parties to gather or clarify information
• Accurately execute investment requests while striving for a zero-error processing rate
• Build and maintain positive relationships with high-net-worth clients and industry professionals
• Collaborate with internal departments to enhance the client and investor experience
• Demonstrate sound judgment in resolving issues or escalating when appropriate
• Support teammates and contribute to a collaborative team environment
• Perform other duties and special projects as assigned

Qualifications

Education & Experience

• Associate’s degree in Business, Finance, or related field; Bachelor’s degree preferred (Finance, Accounting, Business or related field)
• 3+ years of experience in an operationally focused or transaction-processing environment preferred
• Experience in real estate, investments, banking, or financial services highly desirable
• 3+ years of client service experience, preferably working with high-net-worth individuals
• Proven ability to manage projects from initiation through completion

Technical Skills

• Proficiency in Microsoft Office Suite (especially Outlook, Word, and Excel)
• Basic knowledge of Customer Relationship Management (CRM) software preferred
• Familiarity with IRS guidelines related to retirement accounts preferred
• Ability to type a minimum of 45 WPM preferred
• Basic 10-key data entry skills

Work Environment & Physical Demands

This position operates in a professional office setting and uses standard office equipment daily. The role requires regular communication, extended periods of sitting, and occasional movement including reaching, lifting, and bending.
