We’re looking for a reliable and detail-oriented Order Processing Assistant to join our Nordic Sales team in Finland. This role plays a key part in ensuring a seamless customer experience by supporting the end-to-end order journey—from processing and tracking to issue resolution. Please be aware Fluent in English and Finnish (spoken and written) is required and at least one Nordic language: Norwegian, Swedish, or Danish
What you’ll do
You’ll be part of a collaborative, cross-functional team working closely with Sales, Logistics, Finance, and our customers to ensure every order is processed accurately and delivered on time. Key responsibilities include:
- Managing customer orders and inquiries across email, phone, EDI, and Zendesk
- Ensuring orders are accurately entered and updated in our system
- Monitoring backorders and proactively resolving delays or availability issues
- Processing returns, credit notes, and delivery discrepancies in coordination with logistics and finance
- Liaising with logistics teams and external providers to track shipments and troubleshoot issues
- Providing responsive, professional communication with customers and internal teams
- Supporting Sales Representatives and Key Account Managers with order and delivery-related needs
- Maintaining clear documentation and audit trails
- Contributing to process improvements and customer satisfaction initiatives
What you’ll bring
- Minimum 2 years of experience in an order processing or customer service role (Preferred)
- Hands-on experience with Navision or SAP S4 (preferred)
- Strong attention to detail and high accuracy in data entry
- Clear and confident communicator—both written and verbal
- Organised, accountable, and able to prioritise tasks effectively
- Proactive problem-solver with a customer-first mindset
- Comfortable with change and able to adapt in a dynamic environment
- Proficient in MS Office (Excel, Outlook, Teams)
- Fluent in English , Finnish (spoken and written) and at least one Nordic language: Norwegian, Swedish, or Danish
