JOB DESCRIPTION

Job Title: Parish Secretary

Job Contract: six-month probation; thereafter permanent

Job Location: Our Lady Queen of Peace Parish, Merrion Road, Dublin 4

Reports to: Parish Priest Hours: 10-1pm Mon-Fri

JOB PURPOSE: Briefly describe the overall purpose or function of the job

To provide administrative & communications assistance to the Parish Priest and Parish

Welcoming and Front Office Responsibilities ● Act as the welcoming face of the Parish: Serve as the first point of contact for visitors, parishioners, and families, ensuring that all feel warmly welcomed and valued. ● Telephone and Email Communication: Answer calls, respond to inquiries promptly, and handle all email correspondence with a friendly tone that reflects the mission's emphasis on listening and care.

Support of Parish Ethos and Values ● Model and Promote Parish Values: Actively embody the values of hospitality, compassion, and encouragement. Communicate in ways that reflect the Parish’s focus on evangelization, support for families, and faith-filled living. ● Mission-Focused Outreach: Assist with initiatives to reach parishioners with busy lives, such as managing digital newsletters, social media that highlight opportunities for spiritual engagement and mutual support.

Administrative and Organisational Duties ● Maintain Records and Documentation: Ensure accurate records of sacraments, memberships, Mass intentions, and registrations. Handle all data entry with attention to detail and respect for parishioners’ privacy. ● Manage Parish Calendar: Coordinate bookings for liturgies, events, and facilities, ensuring smooth organisation and effective communication to all parties involved. ● Office Supplies & Maintenance Coordination: Manage inventory & ordering of supplies & materials required for Parish operations, liaising with vendors & maintenance teams.

Event Coordination and Community Building ● Organise and Promote Events Using Digital Tools: Coordinate the planning, promotion, and digital registration for parish events and family days. Use online forms, social media, and email to streamline event communications and ensure broad outreach.

  • Support Community and Social Outreach Digitally: Collaborate with social outreach teams to publicise service opportunities through social media and email newsletters, aligning with the Parish’s mission of family support and discipleship.

Communications ● Manage Digital Communications Channels: Oversee weekly digital bulletins, parish newsletters, website updates, and social media posts to keep parishioners informed. ● Create visually engaging, mission-aligned content that reinforces the Parish’s mission and values.

Compassionate Listening and Pastoral Support ● Provide Compassionate Digital Communication: Be available for virtual listening through email or social media direct messages, ensuring that parishioners who can’t visit in person still feel supported and connected. ● Digital Referrals for Pastoral Care: Help parishioners in need by connecting them to appropriate clergy, providing virtual pathways to pastoral care resources.

Ad hoc duties

  • In the event of other staff being employed in the parish, you will be responsible for recording time-keeping and work scheduling as agreed in their contracts
  • In the event of other staff being employed in this parish, you will have the responsibility of preparing and paying Tax and PRSI for parish staff members

· From time to time, liaising with tradesmen for repairs and maintenance

The above contains the main outline of duties. However it is inevitable that tasks may arise which may not fall within the remit of the above list of main duties. Staff members are therefore required to respond with a flexible approach when ad hoc tasks arise which are not specifically covered in their job description. Should an additional responsibility become a regular part of a staff member’s job, the Job Description will be amended to reflect this.

JOBHOLDER ENTRY REQUIREMENTS: Identify the essential knowledge, skills and behaviours required.

Knowledge (Education & Related Experience):

· At least five years administrative experience is required

· IT Literate – MS Word, Excel, PowerPoint and Outlook

· Database experience desired

· Knowledge and experience of Accounts IQ is also desirable

Pay: €19.00-€21.00 per hour

Expected hours: No less than 15 per week
