Job Overview
The Administrative Assistant - Passports main responsibility is to provide professional support to the Passports Coordinator and the Manager of Passports. The Administration Assistant - Passports provides clerical support to the program, assists in responding to calls and inquiries from individuals and families, and for assisting in the purchase of items for, those who CLAPW is brokering Passports Funds.
Duties
- Aid the Passports Coordinator to monitor the use of Passports funds for all those who CLAPW brokers Passports funds for.
- To help purchase items for individuals by online shopping or going to a specific store
- To assist in keeping all receipts and records for Passports purchases. To code all paperwork for Passports spending to the proper cost centers.
- Maintain organized office environment and ensure all administrative tasks are completed efficiently

- Perform simple accounting procedures in respect of CLAPW’s office operations and functions.
- Enter proprietary information into the computer.
- Research and retrieve information contained in files as requested by direct Manager.
- Check documents for accuracy in grammar, spelling, punctuation, and format.
- Respond to general telephone inquiries regarding Passports.
- Work co-operatively with other departments to ensure the efficient operation of the organization. All other related duties may be assigned from time to time.
- Model and ensure adherence to association policies and procedures.
- Follow all Passports funding guidelines.
- Encourage open communication, and positive respectful communication modes.
- Perform other duties assigned, relevant to and consistent with the position within the organization.

REQUIREMENTS / QUALIFICATIONS
- Advanced computer skills and proficiency in Windows, Office, Outlook, and Excel.
- Excellent verbal and written communication skills.
- Valid license and access to a vehicle
- Commitment to the Philosophy of the Association.
- Maturity and Flexibility, good personal judgement in dealing with people.
- Facilitates, collaborates, and works as a team member.
- Cooperative, proactive, organized, and excellent in relationship building and tact.
- Team oriented with an ability to work under pressure and within time constraints.
- Possess a valid driver’s license and access to a reliable vehicle.
- Minimum High School Diploma.
- Previous administration experience is an asset.
- Knowledge and understanding of Passport Funding is an asset.
- Administrative experience working in not-for-profit settings.
TYPE: Part Time -Permanent
SALARY: $21.85 / hour
