HR Officer

Reports to: HR Manager, Direct Dialogue Liaises with: Fundraising Management Team, Street and Door Fundraising Teams, Concern Worldwide Staff

Job location: Dublin, Hybrid

Pay Band: Global Pay Band 4 (pro Rata) €36,301 - €44,368. Exact salary for 21 hours per week €21,780.00

The starting salary for this position will be the beginning of the pay band.

Contract: Fixed Term (12 months), Hybrid contract (50% of working week from Concern Camden Street office) - Part-Time , 21 Hours a week, 3 days per week, Tuesday - Thursday

The HR Officer will provide HR support to the Direct Dialogue fundraising team in ROI.

Key Responsibilities:

Manage probations timelines, tracking dates, reminding managers of probationdeadlines and issuing probation letters.

Point of Contact for all employee queries relating to annual leave and benefits

Act as the secondary point of contact for employee relations queries.

Provide cover of administration for UK CCT Pension Scheme., liaise with the ROI pension’s team to ensure eligible employees join the pension scheme.

Manage the HR Management system including setting up new starters, producing absence, benefit and payroll reports, removing leavers and responding to staff queries.

Produce monthly absence reports for fundraising teams and support fundraising officers in the absence management process.

Manage annual leave accrual system for full time and part-time staff.

Updating Employee Handbook as required in line with current legislation as directed by the HR Manager.

Preparing and circulating Memo’s to Direct Dialogue Employees as directed by the HR Manager.

Provide letters and documents for staff as requested e.g. references, proof of employment.

Facilitate the Bike-to-Work and Travel Tax Saver Schemes, issuing forms and preparing payment requisitions as necessary.

Maintain employee files both hard copy and online ensuring all files are kept up to date and contain relevant documentation and are GDPR compliant.

Support in Disciplinary activities including coordinating and conducting meetings, note-taking within meetings and delivering outcomes.

Support all stages of the recruitment process from advertising of roles, obtaining references, issuing contracts and offer letters.

Organising and conducting interviews in line with Direct Dialogue recruitment

Manage new starters including issuing all relevant documentation and administration e.g: Contract of Employment, Employee Handbook and relevant forms.

Take responsibly for other ad hoc requests as they arise.

Regularly assist Management providing support and guidance to ensure compliance with company procedures and Employee Handbook

Assist the HR Manager with HR administration and duties including performance management and disciplinary procedures.

Provide cover for payroll function and the HR Manager.

Skills and Experience Required:

Essential:

1 – 2 years’ experience in a busy administrative role in a HR Department

Excellent understanding of HR processes

Excellent MS office skills

Excellent organisation skills with the ability to work on own initiative

Excellent interpersonal skills

Desirable:

Previous recruitment experience.

Previous experience in a similar organisation.

CIPD qualification or similar qualification.
