JOB DESCRIPTION: Patient Service Specialist
REPORTS TO: Front Office Supervisor

As a Patient Service Specialist, your role involves coordinating appointments for patients in an ophthalmic setting. You’ll be the bridge between doctors and patients, ensuring smooth scheduling and efficient management of appointments. Let’s delve into the key duties and qualifications:
Duties and Responsibilities:
1. Appointment Scheduling:
o Listen to patients’ needs and determine the appropriate appointment type.
o Coordinate appointment times that work best for both patients and doctors.
o Answer phone calls and emails, helping to make adjustments to the doctors’ schedules as needed.
2. Communication:
o Liaise with doctors and clinical staff to manage doctors’ schedules effectively.
o Resolve scheduling conflicts promptly.
o Respect co-workers, doctors, and patients.
3. Patient Interaction:
o Greet patients and prospective patients professionally.
o Promote a positive image of GLEC.
o Troubleshoot common issues related to patients.
4. Administrative Tasks:
o Verify patient demographic information.
o Reschedule and cancel appointments as needed.
o Collect and enter insurance information.
5. Time Allocation:
o Ensure all testing and appointment types are chosen correctly to keep appointments on schedule.
Qualifications:
· Professionalism: Ability to handle multiple calls and prioritize patients’ needs.
· Effective Communication: Clear communication with patients and medical professionals.
· Attention to Detail: Accurate scheduling and payment collections.
· Problem-Solving: Quick resolution of scheduling conflicts.
· Computer Skills: Familiarity with the basic workings of computers.

Reasoning Ability:
Ability to demonstrate customer-focused interpersonal skills in order to interact in an effective manner with physician, staff, patients and families. Ability to collaborate with all teams and various levels of personnel as part of a team. Ability to report questions and concerns to proper supervisor. Ability to organize, prioritize, and have time management skills. Ability to work extended work hours beyond normal work schedule to include but not limited to evenings, extended shifts, and or extra shifts on short notice.
PHYSICAL DEMANDS:
Must be in good physical and mental health. Long periods in stationary positions required throughout work period. The person in this position needs to frequently move about inside the office. Must have good hearing and legible handwriting. The person in this position frequently communicates with patients, patients’ families, co-workers, and doctors. Must have ability to cope with physical and mental stress. Frequently moves, transports, positions, and helps patients from room to room and in/out of chairs, as needed.
WORK ENVIRONMENT:
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Potential exposure to fumes, dust gases, and odors. Frequent changes in temperature may occur. Possibility of exposure to communicable disease. Awareness of exposure as a high-risk environment. Must be able to rotate among all Great Lakes Eye Care office locations.

Pay: From $15.00 per hour
Schedule:
- 8 hour shift
- Monday to Friday
