As we continue to scale, we are seeking a detail-oriented Payroll & Timekeeping Assistant to support our Comptroller in ensuring accurate and timely payroll processing, as well as maintaining precise employee time records.
Position Summary:
The Payroll & Timekeeping Assistant will be a key administrative support member for our finance and HR functions. This individual will be responsible for reviewing employee timecards, preparing payroll inputs, verifying pay rates, and assisting in the maintenance of accurate financial and employment records. The ideal candidate is highly organized, comfortable working with numbers, and brings a methodical approach to handling sensitive and time-critical tasks.
Key Responsibilities:
- Timekeeping & Payroll Preparation:
- Review and validate daily and weekly timecard submissions for all employees, ensuring accuracy of hours worked, overtime, and paid time off.
- Verify and update pay rates, address discrepancies, and ensure that all payroll inputs are correct prior to each pay cycle.
- Assist in preparing semi-monthly or weekly payroll runs by collecting and organizing relevant data.
- Data Entry & Record Maintenance:
- Enter approved hours and pay details into payroll systems accurately and on schedule.
- Maintain updated employee payroll and timekeeping records, both digital and physical, ensuring compliance with record-keeping best practices.
- Assist the Comptroller with payroll journal entries and basic payroll-related accounting tasks as needed.
- Compliance & Reporting:
- Adhere to all federal, state, and local payroll regulations, and assist in ensuring compliance with wage and hour laws.
- Generate routine reports on hours worked, overtime trends, and payroll expense summaries for management review.
- Assist in preparing and reviewing W-2s, quarterly tax filings, and other compliance-related documentation.
- Employee Support:
- Respond to basic payroll and timekeeping inquiries from employees, addressing questions regarding hours, pay, and pay periods.
- Coordinate with HR to ensure all employee status changes (new hires, terminations, promotions) are reflected accurately in the payroll system.
- Process Improvement & Collaboration:
- Identify opportunities to streamline timekeeping and payroll processes, suggesting improvements to reduce errors and enhance efficiency.
- Collaborate closely with the Comptroller, Operations Manager, and HR team to maintain alignment across payroll, timekeeping, and staffing functions.
Qualifications:
- Education & Experience:
- Associate’s degree or higher in Accounting, Finance, Business Administration, or related field preferred.
- 1-2 years of experience in payroll, timekeeping, or basic accounting support. Experience in a fast-paced environment is a plus.
- Familiarity with payroll software (e.g., Gusto, ADP, Paychex) and basic accounting principles is highly desirable.
- Skills & Competencies:
- Exceptional attention to detail and accuracy, especially under time-sensitive conditions.
- Strong proficiency in Microsoft Excel and the ability to learn new software tools quickly.
- Good communication skills and the ability to maintain confidentiality of sensitive information.

Compensation & Benefits:
- Salary: 55K-65K, commensurate with experience and qualifications.
