People & Culture Coordinator

We are looking for an organized and proactive HR Coordinator/Assistant to support our global HR operations. This role involves managing contracts for all countries, handling new hires and rehires in Jira and Workday, as well as supporting the onboarding process for new employees. The HR Coordinator/Assistant/Assistant will also assist with reactivating employee records and gathering personal information for new hires.
Key Responsibilities:
  • Contract Management: Oversee the preparation and management of employment contracts for 12 European countries, ensuring compliance with local laws and company policies.
  • Jira Management: Respond to employees' inquiries promptly and with empathy.
  • Onboarding & Reactivation: Coordinate the onboarding process for new employees and manage reactivation of employee in Workday.
  • Personal Information Gathering: Collect and verify personal information from new hires for payroll and benefits setup.
  • Administrative Support: Provide general administrative support to the HR team, including document preparation and communication with employees regarding HR matters. Assist in tasks delegated by the Director of Europe.
  • Documentation and Compliance: Secure A-1 forms and other required documents for European field staff. Facilitate the preparation of secondment papers for Euro Field Staff. Ensure the completion of mandatory Field Staff safety and security training.
  • Termination & Deactivation: Manage employee terminations and deactivations, ensuring proper documentation and compliance.
Qualifications:
  • Previous experience in HR administration or a similar role.
  • Proficiency in HR systems, including Jira and Workday.
  • Strong attention to detail and ability to handle sensitive information.
  • Excellent communication skills and the ability to work collaboratively with teams across different regions.
  • Organizational skills to manage multiple tasks and meet deadlines.
