About this Role
InfraSource is seeking a highly organized and detail-oriented Permitting and Records Coordinator to support our operations by managing permits, licenses, insurance documentation, and related records. This role is critical to ensuring compliance, timely project execution, and accurate documentation across multiple projects and jurisdictions. The ideal candidate is proactive, adaptable, and thrives in a fast-paced, high-demand environment.
What You'll Do
- Apply for, track, renew, and maintain all necessary permits required for business operations and project execution
- Support licensing efforts, including tracking, assisting in applications and renewals for all business and contractors licenses
- Request, collect, and manage Certificates of Insurance (COIs) and required bonds from internal teams, clients, and vendors
- Electronically file, organize, and maintain documentation including permits, bonds, insurance, contracts, subcontracts, work orders, and other requested materials in accordance with company standards
- Manage and respond to multiple permitting and licensing inboxes, ensuring timely communication and follow-up
- Coordinate with internal stakeholders, municipalities, regulatory agencies, clients, and vendors to resolve permitting or documentation issues
- Monitor permit, COI, and licensing statuses and deadlines to ensure compliance and prevent project delays
- Support audits, reporting, and record retrieval requests as needed
- Perform additional administrative and coordination duties as required to support the business
What You'll Bring
- High school diploma or GED required. Associate’s or Bachelor’s degree in Business Administration or related field preferred
- Relevant professional experience in permitting, licensing, compliance, records management, construction administration, or utilities/infrastructure environments
- Exceptionally hyper-organized with a strong ability to manage and prioritize multiple workstreams
- Detail-oriented, with a high level of accuracy in documentation and recordkeeping
- Effective communicator (written and verbal), capable of interacting with a wide range of internal and external partners
- Strong team player with a collaborative mindset
- Quick learner who can adapt to new systems, processes, and regulatory requirements
- Able to balance multiple projects simultaneously without sacrificing quality or timeliness
- Proven ability to efficiently manage high-demand deliverables under short turnaround times
- Proficiency with digital filing systems, Microsoft Office applications, and document management tools preferred .

This position is subject to the Federal Department of Transportation (DOT) drug & alcohol testing regulations as outlined in 49 CFR Part 382 and/or 49 CFR Part 199.

Pay: $45,000.00 - $75,000.00 per year
