About the Job

The Dental Practice Manager is responsible for the overall operational leadership, performance, and day-to-day management of a busy multi-surgery dental practice operating across multiple floors in our busy Old Quarter practice.

This is a hands-on “player-manager” role requiring a strong balance of operational leadership, people management, patient experience oversight, and business administration. The successful candidate will work closely with the Clinical Director and Senior Leadership Team to ensure the practice operates efficiently, commercially, and in line with the highest standards of patient care and clinical support.

As part of the Leadership Team you will also develop and work to Performance related KPIs on a Quarterly basis.

Key Responsibilities

· Manage the day-to-day operations of a busy multi-surgery dental practice across clinical, reception, and patient areas.

· Lead and support a large multidisciplinary team including clinicians, nurses, and administration staff.

· Ensure excellent patient experience by overseeing customer service, complaints handling, and communication processes.

· Coordinate staffing, Rotas, recruitment, onboarding, training, and performance management activities.

· Support financial performance through budgeting, reporting, billing oversight, and operational efficiency monitoring.

· Manage suppliers, stock control, equipment maintenance, and overall facilities operations.

· Ensure compliance with healthcare regulations, GDPR, health & safety, and infection control standards.

· Collaborate with senior leadership and other practice managers to drive operational excellence and continuous improvement.

The role involves direct management and leadership of:

  • 8-10 Clinicians/Orthodontists and Dental Therapists.
  • 15-20 Nursing Staff
  • 6–10 Administration & Front of House Team Members

The Practice Manager will engage daily with the COO, CEO, and Practice Managers across other group locations to support consistency, operational excellence, and continuous improvement initiatives.

Operational & Practice Management

  • Oversee the daily operation of a busy multi-surgery dental practice across surgeries, reception, sterilisation, laboratory, and patient areas.
  • Ensure the smooth coordination of all clinical and non-clinical functions within the practice.
  • Monitor patient flow, appointment scheduling, and surgery utilisation to maximise operational efficiency and patient experience.
  • Support clinicians with operational requirements including surgery readiness, equipment availability, and workflow coordination.
  • Act as the primary escalation point for day-to-day operational issues and problem-solving.
  • Respond proactively and flexibly to operational challenges, emergencies, and unforeseen service disruptions.
  • Drive continuous improvement initiatives to enhance efficiency, workflow, and service delivery standards.

Leadership & People Management

  • Lead, motivate, and support a multidisciplinary team including clinicians, dental nurses, hygienists, reception/front-of-house staff, and support personnel.
  • Foster a positive, professional, patient-focused culture across the practice.
  • Manage staff scheduling, Rotas, annual leave, and short-notice absence cover to ensure adequate operational staffing levels.
  • Conduct team meetings, performance reviews, coaching, and day-to-day people management activities.
  • Support recruitment, onboarding, induction, and training of new staff members.
  • Address employee concerns and support effective communication across departments.
  • Promote accountability, teamwork, engagement, and high-performance standards.
  • Support employee development and succession planning within the practice.

Patient Experience & Communication

  • Ensure exceptional patient care and customer service standards are consistently maintained.
  • Manage patient queries, complaints, feedback, and service recovery situations professionally and efficiently.
  • Oversee front-of-house operations, phone systems, appointment communications, and patient engagement processes.
  • Monitor patient satisfaction and identify opportunities to improve the overall patient journey and retention.
  • Ensure effective communication between clinical teams and administration teams to support seamless patient care.

Financial & Administrative Management

  • Support the financial performance and commercial objectives of the practice.
  • Monitor daily administrative operations including billing, payments, reporting, and general office administration.
  • Assist with budgeting, cost control, and management of operational expenses.
  • Review productivity, chair utilisation, diary management, and workflow efficiencies to optimise revenue opportunities.
  • Produce monthly operational and management reports for senior leadership, including staffing, workflow, operational KPIs, and practice performance updates.
  • Support payroll preparation, timesheet management, and administration controls where required.
  • Ensure accurate maintenance of practice records, documentation, and reporting systems.

Supplier & Facilities Management

  • Manage stock control, procurement, and ordering of clinical and non-clinical supplies.
  • Build and maintain effective relationships with suppliers, laboratories, engineers, and external service providers.
  • Monitor supplier performance, pricing, service agreements, and stock levels.
  • Coordinate maintenance schedules and servicing of dental equipment, chair units, suction systems, compressors, and general facilities.
  • Liaise with external contractors and technicians regarding equipment servicing, repairs, and compliance requirements.
  • Ensure the practice environment remains safe, clean, professional, and fully operational at all times.

Compliance, Governance & Health & Safety

  • Support compliance with all relevant healthcare regulations, practice policies, and operational procedures.
  • Ensure adherence to health & safety standards, infection prevention protocols, and risk management procedures.
  • Assist with audits, inspections, compliance checks, and implementation of corrective actions where required.
  • Maintain awareness of GDPR, confidentiality, and patient data protection requirements.
  • Ensure staff remain compliant with mandatory training and regulatory obligations.

Group Collaboration

  • Work closely with the Clinical Director, COO, and CEO to support the strategic growth and operational objectives of the business.
  • Collaborate with Practice Managers across other locations to share best practices and support consistency across the group.
  • Contribute to operational planning, service development, and process improvement initiatives.
  • Support the implementation of new systems, technologies, and operational changes within the practice.

Ideal Candidate Profile

  • Previous experience managing a busy healthcare, dental, or clinical environment.
  • 5-10 Years’ Management Experience
  • Strong leadership and people management skills with the ability to manage large multidisciplinary teams.
  • Commercially aware with strong organisational and operational management capability.
  • Excellent communication, problem-solving, and conflict resolution skills.
  • Degree Qualified Desirable
  • Ability to work in a fast-paced, patient-focused environment while maintaining high standards.
  • Strong administrative, reporting, and coordination abilities.
  • Proactive, hands-on, adaptable, and solutions-oriented approach.
  • Experience in a dental practice management is highly desirable.

Working Schedule

This is a Monday to Friday role, as the Practice Manager, you may be required to support your teams by being flexible in terms of days and hours of work.
