Key Responsibilities, Operational Management

  • Assist with the daily running of clinic operations, ensuring smooth patient flow and optimal staff performance.
  • Monitor and maintain clinic schedules, appointment management, and consulting room availability.
  • Oversee stock levels of medical and office supplies, ensuring timely ordering and restocking.

Team Coordination & Leadership

  • Help manage staff rosters, leave requests, and shift coverage to ensure clinic coverage at all times.
  • Foster a positive team culture through effective communication, conflict resolution, and collaboration.

Patient Services & Client Experience

  • Handle complex or escalated patient queries and complaints with professionalism and empathy.
  • Ensure patient communication (phone, email, SMS) is timely, accurate, and consistent.
  • Promote a welcoming and supportive environment for patients and families.

Administrative & Financial Support

  • Assist with Medicare billing, private health insurance claims, and EFTPOS payments.
  • Monitor accounts receivable/payable and flag inconsistencies or overdue accounts.
  • Generate reports on billing, appointment trends, patient feedback, and operational KPIs.
  • Support budgeting processes and identify opportunities for cost-effectiveness and growth.

Compliance, Risk & Quality Assurance

  • Ensure the practice complies with accreditation standards (e.g., RACGP, NSQHS).
  • Maintain up-to-date knowledge of privacy laws, infection control protocols, and OH&S regulations.
  • Assist in auditing processes, incident investigations, and corrective action planning.
  • Contribute to policy development and process improvement initiatives.

Skills & Qualifications:

  • Diploma or Certificate IV in Practice Management, Health Administration, or equivalent experience.
  • Minimum 2 years’ experience in a medical, allied health, or specialist practice.
  • High proficiency in practice management software (e.g., Best Practice, Genie, Zedmed, MedicalDirector).
  • Strong knowledge of Medicare, billing codes, item numbers, and health fund processes.
  • Exceptional time management, multitasking, and problem-solving abilities.
  • High emotional intelligence with strong interpersonal and communication skills.
  • Ability to lead by example and work collaboratively in a multidisciplinary environment.

Desirable Attributes:

  • Prior experience in a respiratory, sleep, or specialist medical clinic.
  • Familiarity with sleep study scheduling, lung function testing, or chronic disease management workflows.
  • Understanding of MyHealthRecord, ePrescriptions, electronic referrals (eReferrals), and secure messaging systems.
  • Interest in quality improvement, digital transformation, or workflow optimization in healthcare.

Job Types: Part-time, Casual

Pay: $40.00 – $55.00 per hour

  • Australia (Preferred)
