Role:
The Program Assistant provides expert administrative support to meet the administrative and logistical requirements of the Credentialing Centre, including the CNA advisory councils. The Program Assistant may also provide some support to other CNA teams, as needed.
Key responsibilities:
- Provides administrative support to the CNA advisory councils that are representative of distinct nursing populations and which report into the CNA CEO including the quarterly and ad hoc scheduling of meetings, drafting minutes and agendas, liaising with the council chairs, assisting with the governance of the committees, sending communications to the members and co-creating reports to the CNA Board of Directors;
- Administers and manages the calendar for the Director, Credentialing Centre & Nursing Policy as required;
- Supports Credentialing Centre division for any office administration such as, receiving and processing accreditation/certification applications, coordinating the volunteer program, drafting letters, reviewing invoices, drafting fee for service contracts;
- Maintains and updates working files;
- Provides information to external organizations as required;
- Provides backup for various shared mailboxes, actions requests, forwards to appropriate staff, tracks responses and follow-ups;
- Research information when requested and creates required documents;
- Research and drafts correspondence for the Director’s signature, and responds independently to correspondence as required;
- Supports other Executive/Program/Administrative Assistants as required;
- Liaises with Division Leads and co-workers on a regular basis;
- Performs any other related duties as required
- Requires travel
Qualifications:
- Business administration diploma or degree
- Two years of directly related experience, preferably in an association environment
- Fluently bilingual in English/French
- Proficiency in Microsoft Office applications, including but not limited to Excel, Word, PowerPoint and Outlook
- Strong writing and oral communication skills in English and French
- Strong organizational skills and effective interpersonal skills
- Discretion, diplomacy and sound judgment
- Manages multiple priorities/expectations
- Ability to identify problems before they become issues
- Ability to proofread
- Ability to determine priorities and to establish and maintain a calendar
- Ability to change priorities and adapt to changing situations and to new ideas and concepts
- Ability to work independently and collaboratively
- Ability to research, analyze and synthesize information to assist in the compilation of reports
- Ability to work under pressure

- Experience working with a professional association
