The Project Coordinator is responsible for coordinating the execution of technology projects and Managed Services onboarding engagements by maintaining project workflows, coordinating resources, tracking progress, and ensuring documentation accuracy.
This role supports the Technology Manager, Project Manager(s) and technical teams by ensuring projects are organized, financially aligned, and executed according to defined processes. The Project Coordinator plays a critical role in maintaining operational efficiency, documentation standards, and a smooth transition from onboarding to steady-state support.
This is a highly operational role focused on workflow discipline, communication, and execution support — not project team ownership.
Project Coordination
- Keep project plans updated in ConnectWise, including tasks, milestones, and schedules.
- Monitor progress and report risks or delays to the Technology Manager and Project Managers.
- Manage technical team scheduling across different groups.
- Assist with project budgeting and labor allocation.
- Ensure project documentation is thorough and precise.
- Maintain proper ticket handling and align billing correctly.
- Organize internal meetings and facilitate project communications.
- Help prepare final project documents and oversee handoff procedures.
Managed Services Onboarding Coordination
As the key coordinator for onboarding workflows, the Project Coordinator handles:
- Creating and updating onboarding schedules and plans.
- Arranging technical discovery like asset tracking and documenting.
- Monitoring completion of onboarding checklists.
- Overseeing installation of monitoring, security tools, and baseline setups.
- Guiding handover to Service Desk, NOC, and Account Management teams.
- Checking that onboarding records meet quality requirements.
- Keeping regular communication throughout onboarding.
- Watching onboarding status, highlighting any issues.
- Confirming readiness for ongoing support.
Workflow & Documentation Governance
- Guarantee all project and onboarding paperwork is complete and correct.
- Uphold standards and templates for documentation.
- Track the completion of necessary technical documents.
- Contribute to ongoing process improvements.
- Make sure all tasks are logged accurately in ConnectWise.
Financial & Operational Awareness
- Compare labor efforts against planned estimates.
- Foster margin protection by enforcing workflow discipline.
- Spot out-of-scope changes and alert relevant parties.
- Monitor how well scheduled resources match actual needs.
- Advocate for accurate reporting of time worked.
Client Communication Support
- Share structured updates with internal team members.
- Assist with communicating to clients during projects and onboarding.
- Coordinate meeting schedules and logistical needs.
- Document client expectations and deliverables.
Operational Accountabilities
The Project Coordinator is responsible for:
- Precision in ensuring workflows are accurate,

- Maintaining compliance with ticket-handling standards.
Success Metrics

- Timeliness of onboarding delivery,

- Accuracy in resource assignment,
- Compliance with ticket-handling protocols,
- Client satisfaction levels,
- Quality of the client’s onboarding journey.
Knowledge, Skills, and Abilities
- Excellent skills in organizing and managing workflows,
- Strong attention to detail,
- Capable of juggling multiple tasks at once,
- Clear and effective written and spoken communication,
- Methodical approach to processes,
- Ability to recognize potential issues and escalate when necessary,
- Consistent follow-through and reliability,
- Success working in a dynamic MSP setting.
Technical Competencies
- Experience utilizing PSA platforms (ConnectWise preferred),
- Knowledge of MSP operational workflows,
- Understanding of project coordination methods,
- Basic familiarity with IT infrastructure,
- Proficient use of Microsoft Office and collaboration technologies.
Education & Experience
- Associate’s or Bachelor’s degree in business, IT, or related field preferred
- 2–5 years of project coordination or administrative support experience
- MSP or IT services experience strongly preferred
- CAPM, ITIL Foundation, or similar certifications preferred
Job Type: Full-time
Pay: $25.00 - $32.00 per hour
