Disclaimer: This is a night shift role that requires excellent communication skills in English, as all clients are US-based. Candidates must be willing to work during US business hours and have experience with project management software.
Location: Bangalore, India (Night Shift Only)
Position Summary
The Project Coordinator supports the Project Manager in planning, coordinating, and tracking project activities to ensure smooth execution and timely delivery. The role focuses on documentation control, scheduling support, communication, and coordination with clients, vendors, and internal teams. This position is suitable for both experienced professionals and motivated freshers with strong communication and organisational skills.
Key Responsibilities
Project Coordination & Documentation
- Maintain and organize project documents including contracts, permits, plans, approvals, and invoices.
- Ensure all project information is updated and accessible in the project management system.
- Track permits, submittals, inspections, and approvals.
Scheduling & Follow-ups
- Assist in maintaining project schedules and calendars.
- Coordinate meetings, site visits, inspections, and deliveries.
- Follow up with internal teams, vendors, and subcontractors on timelines and commitments.
Client & Stakeholder Communication
- Share routine project updates and reports on behalf of the Project Manager.
- Follow up with clients for approvals, clarifications, and required information.
- Draft professional emails and basic project correspondence.
Vendor & Subcontractor Support
- Coordinate with vendors and subcontractors regarding availability, documentation, and deliveries.
- Track compliance documents such as contracts and insurance.
- Support procurement by requesting quotes and tracking orders.
Tracking & Reporting
- Maintain daily logs and basic progress reports.
- Track milestones, action items, and potential delays.
- Escalate issues or risks to the Project Manager in a timely manner.
Project Closeout Support
- Assist in collecting closeout documents such as warranties and manuals.
- Support final inspections, walk-throughs, and handover activities.
Qualifications & Experience
- Bachelor’s degree in a relevant field (preferred).
- Experience supporting US-based or US-style projects is preferred.
- Freshers are welcome to apply if they possess excellent written and verbal communication skills.
- Prior exposure to project coordination, documentation, or project management tools is an advantage.

- Good organizational and documentation abilities.
- Ability to manage multiple tasks and meet deadlines.
- Attention to detail and willingness to learn.
- Basic proficiency with project management and office tools.
Job Type: Full-time
Pay: ₹25,000.00 - ₹35,000.00 per month
