infeurope is looking for a Project Manager Assistant with at least 3 years of experience.
The aim of the contract is to support the project management activities for the reorganization of the Group Corporate Services (GCS) and Chief Financial Controller (CFC) departments.
Start Date 01/04/2025 End Date 31/08/2025.
TASKS
- Setup the Project Governance structure including stakeholder’s matrix
- Definition of project scope and out of scope, assumptions and constraints
- Establish project risks and mitigation actions.
- Definition of work packages and their interdependencies
- Effort estimation of the activities and project deliverables
- Drive project objectives, define project plan, manage planning activities
- Collaboration with internal key stakeholders, Project Sponsor, Business manager and IT Solution Provider
- Organise and drive (where required) Steering Committee and Tactical Meetings
- Advice on the agenda structure and topics to guarantee the right discussions in the right forum
- Coordinate the contribution of all stakeholders to the presentations
- Tracking and reporting of project progress and performance
- Facilitation of all aspects of project meetings, workshops and documentation
- Monitor and control of resources, revenue and capital costs against the project budget
- Management of expectations of all project stakeholders
- Maintenance of effective project control, change control, and risk management
- Drive visibility, accountability, and execution across cross-functional teams
- Quality review of project deliverables
- Project Management Documentation (Project Charter, Project Progress Reports, Steering Committee (SteerCo) Presentations; SteerCo meeting minutes)
- Review results of Quality assurance testing – GDO performs structured and documented tests on the UAT environment before releasing the changes to the requesting directorate to test
- Coordinate User acceptance testing – The final and comprehensive tests are done by the requesting directorate. These tests must be documented and formally signed off before the deployment plan is put in action. This sign-off may include open issues and a plan to treat or accept them in production.
- Coordinate Go-live/implementation – Most of the time, these changes also need formal CAB approval and downtime planning & communication.
Mandatory Experience
- Proven experience in delivering technology change projects
- Project management and support
- Stakeholder Management
- Project Management methodologies (waterfall, iterative and agile)
- Experience in developing and implementing change management strategies
- Digital collaboration tools, e.g. SharePoint, Teams, etc
- Workshop facilitation
Demonstrated competence in:
- Knowledge of change management and how to guide people through change
- Ability to work collaboratively with stakeholders to drive successful change outcomes
- Spoken and written interpersonal, communication and presentation skills
- Excellent documentation and writing skills
- Customer orientation
- Analytical thinking
- Strong attention to detail with an analytical mindset and outstanding problem-solving skills
- Ensuring regular and accurate communication with stakeholders
