About West Coast Heating and AC Inc.

West Coast Heating and AC Inc. is a growing Calgary-based HVAC contractor delivering commercial, multi-residential, construction, retrofit, and service projects.

As our project portfolio and customer base continue to grow, we are looking for an experienced HVAC Project Manager who can take ownership of projects from award through final completion.

This is a senior position for someone who understands both the technical and business sides of HVAC construction and knows how to keep projects organized, profitable, on schedule, and professionally managed.

The Opportunity

The Project Manager will be responsible for the successful planning, execution, financial control, and closeout of assigned HVAC projects.

You will work closely with the owner, field supervisors, tradespeople, suppliers, general contractors, consultants, customers, and subcontractors.

We are looking for someone who can bring structure and leadership to the project management function while helping West Coast continue to build scalable project management systems and processes.

Key ResponsibilitiesProject Management

  • Manage HVAC projects from contract award through commissioning and final closeout.
  • Review project scope, drawings, specifications, contracts, schedules, and project requirements.
  • Develop detailed project execution plans and schedules.
  • Coordinate manpower, materials, equipment, subcontractors, and site requirements.
  • Monitor project milestones and proactively address scheduling or operational issues.
  • Conduct and participate in project meetings with clients, consultants, general contractors, suppliers, and internal teams.
  • Maintain clear communication between the office and field operations.

Financial Management

  • Establish and monitor project budgets.
  • Track labour, materials, equipment, subcontractor costs, and committed project expenses.
  • Monitor project profitability and identify potential cost overruns early.
  • Prepare and manage progress billings.
  • Review project costs against estimates and budgets.
  • Identify, document, price, submit, and track change orders.
  • Manage project forecasts and expected cost-to-complete.
  • Support timely invoicing and collection of project documentation.

Procurement & Materials

  • Coordinate equipment and material procurement based on project schedules.
  • Review equipment selections and supplier quotations.
  • Manage long-lead equipment and critical material requirements.
  • Work with suppliers to ensure equipment and materials arrive when required.
  • Monitor purchase commitments against project budgets.

Field Coordination

  • Work closely with foremen, supervisors, and field crews to ensure projects are properly planned before work begins.
  • Confirm labour requirements and manpower scheduling.
  • Ensure field teams have the drawings, equipment, materials, information, and direction required to perform efficiently.
  • Conduct site visits as required.
  • Assist with resolving technical, coordination, and construction issues.
  • Promote accountability for schedule, productivity, workmanship, and project documentation.

Documentation & Controls

  • Maintain organized and accurate project records.
  • Manage RFIs, submittals, shop drawings, change orders, purchase orders, meeting minutes, deficiency lists, and closeout documentation.
  • Track project decisions and outstanding action items.
  • Ensure documentation supports invoicing and change-order recovery.
  • Coordinate commissioning, deficiencies, warranty documentation, O&M manuals, and project turnover.

Leadership & Continuous Improvement

  • Provide leadership and direction to project teams.
  • Establish clear expectations and accountability.
  • Identify opportunities to improve project management processes and systems.
  • Help develop standardized project controls, reporting, documentation, and workflows as West Coast continues to grow.
  • Work closely with ownership on project performance, risks, staffing requirements, and priorities.

Qualifications Required

  • Minimum 5 years of HVAC project management experience.
  • Extensive experience managing commercial, institutional, industrial, or multi-residential HVAC/mechanical projects.
  • Strong understanding of HVAC systems, equipment, controls, piping, sheet metal, and mechanical construction.
  • Demonstrated experience managing projects from award through completion.
  • Strong understanding of project budgeting, job costing, forecasting, change management, and progress billing.
  • Ability to read and interpret mechanical drawings, specifications, schedules, and construction documents.
  • Strong understanding of construction sequencing and trade coordination.
  • Proven experience working with field supervisors and tradespeople.
  • Excellent organizational and problem-solving skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple projects and priorities simultaneously.
  • Valid driver's licence and ability to travel to project sites within the Calgary region as required.

Preferred

  • Journeyperson certification in Refrigeration & Air Conditioning, Sheet Metal, Plumbing, Gasfitting, or another relevant mechanical trade.
  • Engineering technology, construction management, mechanical engineering, or related education.
  • PMP or equivalent project management designation.
  • Experience implementing or improving project management systems within a growing mechanical contractor.
  • Familiarity with construction/project management and accounting software.
