UCC Academy DAC is a not-for-profit subsidiary company of University College Cork (UCC). The Academy was established in 2014 as UCC’s in-house consultancy and operates on a commercial basis. With over 40 employees, it provides a range of services within its:

  • Project Centre including Programme, Project and Change Management across the full scope of University activities.
  • Creative Services, including Communications, Graphic Design, and Brand Development.
  • International Office, managing UCC offices in China, India and USA and a cohort of over 100 international student recruitment agents.

While the Academy’s principal client base is within the University, it is also a partner with UCC in a range of consortiums for national and international projects with other higher education institutions, research institutes and public bodies.

The Role: Project Officer

This is an exciting opportunity for an experienced professional to join a dynamic team to participate in and support the delivery of projects. The role is ideal for candidates with a keen interest in project management and communication in a higher education setting. The successful candidate will work closely with academics and industry professionals in the management and delivery of multi-stakeholder projects. The Project Officer will generally work under the guidance and supervision of a Project Manager or Project Lead.

Key Responsibilities

  • Ensure that projects are operating in line with agreed project governance, project management processes, and procedures.
  • Develop and maintain accurate and complete project documentation and creative materials.
  • Monitor tasks and deliverables to ensure project milestones are achieved.
  • Ensure that tasks are prioritised, in line with project deliverables and milestones.
  • Schedule, coordinate and attend meetings and workshops, preparing supporting agendas, inputs (e.g., presentation) and outputs (e.g., meeting notes) as required.
  • Organise, support and attend project events.
  • Develop and maintain effective working relationships with both internal and external project stakeholders.
  • Support clear and timely communication of project progress to both internal and external stakeholders.
  • Understand financial management principals as related to work including scope creep, risk, etc. and escalates accordingly
  • Support project communication including website and social media account management. Identify opportunities for business development activity. Recommend improvements to project, team or unit level processes.

This list is not exhaustive, and the Project Officer will undertake other duties as appropriate at the request of the Project Manager/Lead and/or Head of Project Centre.

Essential Criteria

Third level degree and a minimum of two years’ relevant work experience.

  • Experience of using Microsoft Office suite to an advanced level including Word, Excel, PowerPoint, SharePoint, and Teams.
  • Proven track record of delivering on objectives.
  • Excellent written communication skills.
  • Excellent interpersonal and stakeholder management skills.
  • Demonstrated capacity to communicate and build good working relationships with a diverse range of stakeholders at individual and group level.
  • Capacity to deal with a wide variety of different tasks and to reprioritise as required.
  • Ability to work in a fast-paced and rapidly changing environment.
  • Strong attention to detail.
  • Ability to be proactive, use initiative, and meet deadlines.
  • Ability to exercise good judgement and critical thinking skills to support decision making.

Desirable Criteria

  • Project management qualification.
  • Previous experience of working in Higher Education.

Conditions of Employment

Employment Type: The post is full-time. A six-month probationary period will apply.

Eligibility: You must be eligible to work in Ireland to be considered for the role.

Salary on commencement: €38,000 – €41,101 per annum.

Term: 24 month fixed-term contract. The post is full-time but in exceptional circumstances it may be offered at 0.8 FTE.

Annual Leave: 25 Days plus up to 5 discretionary Company Days.

Pension: Company Defined Contribution Pension Scheme available after 6 months in post.

Location: Our place of work is the Western Gateway Building, UCC. Onsite presence is required, with opportunities for flexible working when organisation and client needs allow.
