Overview of role:
We’re looking for an organised and proactive Project Support Coordinator to join our Rural Water Efficiency Project (RWEP) and provide high-quality coordination and governance support across this significant program of work.
The Rural Water Efficiency Project is a landmark initiative focused on modernising and optimising the Greater Bendigo rural water system. Jointly funded by the Commonwealth Government and Coliban Water, the project aims to improve service levels and water efficiency for more than 1,150 rural customers.
Reporting to the Manager Project Governance, you’ll play an important role in supporting project governance, reporting, risk and issue management, stakeholder communication and financial administration.
Working closely with the Project Director, Senior Managers and teams across RWEP and Coliban Water, you’ll help ensure project activities are well coordinated, accurately documented and delivered in line with governance requirements.
Key Responsibilities:
In this role, you will:
Coordinate project and governance documentation, including business cases, project plans, status reports and gate review materials.
Prepare meeting agendas and papers, take and review minutes, and monitor actions through to completion.
Track project actions, issues, risks, finances and deliverables to support timely project delivery and governance compliance.
Maintain accurate project records, registers and document repositories.
Develop and maintain reporting systems to monitor project performance, governance requirements, timelines and budgets.
Coordinate inputs for executive reports, briefings, presentations and Board materials.
Support stakeholder communications, including project updates, governance notices and correspondence.
Maintain records of stakeholder consultations, feedback and engagement activities.
Assist with budgeting, forecasting, invoice processing and expenditure tracking.
Review financial information and support financial reporting and variance analysis.
Support the identification and management of project risks and issues.
Work collaboratively across project teams to continuously improve processes and project outcomes.
About you:
You’ll be someone who enjoys bringing structure and organisation to a busy project environment and can confidently coordinate multiple priorities and stakeholders.
You’ll bring strong written and verbal communication skills, excellent attention to detail and the ability to maintain accurate documentation and reporting.
Ideally, you’ll also have:
Experience working within governance, project support, corporate reporting or compliance environments.
Experience preparing clear and concise reports, correspondence and administrative documentation.
Strong meeting coordination and minute-taking skills.
Experience tracking project actions, issues and deliverables.
The ability to analyse project or investment data, identify trends and support decision-making.
Strong organisational skills with the ability to prioritise competing tasks and meet deadlines.
Confidence working collaboratively with a range of internal and external stakeholders.
Solid working knowledge of Microsoft Office, including Word, Excel, PowerPoint and Outlook.
Experience developing and maintaining project reports and governance documentation.

Salary:
The salary and conditions for this position will be as per the Coliban Water Enterprise Agreement 2021 Band 4 $93,548 - $118,209 plus superannuation salary range will be offered to the successful candidate commensurate with their skills and experience.
