Property Lease Administrator
Melbourne | Full-time | Permanent | Reporting to the Financial Controller
The opportunity
This is an opportunity to take ownership of the lease administration function across Growthpoint’s diverse Australian property portfolio.
Sitting at the intersection of Asset Management, Property Management and Finance, you will play an important role in ensuring our lease data is accurate, our tenant billing reflects contractual obligations, and key lease events are identified and actioned at the right time.
This is more than a lease processing role. You will oversee the quality and delivery of lease administration across the portfolio, provide guidance to others, strengthen processes and controls, and act as a trusted internal specialist on lease administration matters.

Your work will include:
Leading lease administration
- Oversee the day-to-day delivery of lease administration across the portfolio, ensuring work is completed accurately and within required timeframes.
- Coordinate and prioritise lease administration activities, providing guidance and support to the Lease Administration Assistant and relevant Property Management team members.
- Act as a subject matter expert for lease administration, supporting the business with complex queries and changes.
- Identify opportunities to improve processes, controls and the overall quality of lease administration.
Maintaining lease and portfolio data
- Maintain the integrity of tenant, landlord and lease information within Yardi.
- Review and oversee the abstraction and input of new leases, renewals, variations, assignments and other lease changes.
- Ensure critical dates including expiries, options, termination windows and rent reviews are accurately captured and monitored.
- Maintain key lease information including insurance, bank guarantees and relevant contractual obligations.
- Support the transition and onboarding of new assets and acquisitions into the portfolio.
Supporting accurate billing and financial outcomes
- Review tenant billing and statements to ensure they accurately reflect lease terms.
- Prepare and review monthly rent rolls, ensuring rent reviews, escalations and other contractual changes have been captured.
- Complete lease audits and support tenant reconciliations where required.
- Investigate and resolve lease administration discrepancies in partnership with Finance, Asset Management and Property Management.
Governance and risk
- Apply appropriate governance and approval requirements before processing lease changes.
- Work with Legal and internal stakeholders to ensure executed documentation is appropriately reflected within lease administration systems and processes.
- Maintain high standards of data quality, documentation and audit readiness across the portfolio.
Portfolio insights and transactions
- Produce regular portfolio reporting covering occupancy, upcoming expiries, lease events and material variances.
- Support Asset Management during acquisitions, disposals and due diligence processes.
- Provide reliable lease information and insights to support portfolio and asset-level decision-making.
- What you’ll bring

Ideally, you will bring:
- Experience in commercial real estate, property management, lease administration, property accounting or a related environment.
- Strong experience interpreting commercial leases and translating contractual requirements into accurate system and billing outcomes.
- Experience with Yardi or another property management system, with Yardi experience highly regarded.
- Strong Excel and Microsoft Office capability.
- Exceptional attention to detail and a commitment to maintaining accurate, reliable data.
- The ability to manage competing priorities and high-volume work within operational and financial deadlines.
- Strong communication and stakeholder management skills, with the ability to explain lease administration requirements clearly.
- Confidence working across functions including Asset Management, Property Management, Finance and Legal.
- The ability to guide others and operate as a trusted subject matter expert.
- A relevant qualification in Commerce, Finance, Real Estate, Property or Law would be highly regarded.
