Job Title: Real Estate Assistant – High-Volume Team
Location: 8 Sampson Mews
Schedule: Monday–Friday, 9:00 a.m.–5:00 p.m. (in office - none negotiable)
Compensation: $65,000 base + performance-based bonuses
Growth: Annual salary review with opportunity for advancement

About the Opportunity
We’re looking for a detail-driven Real Estate Administrative Assistant to support a fast-paced, high-producing real estate team. This role is ideal for someone who takes ownership, thinks proactively, and excels at managing multiple moving parts behind the scenes.
You’ll play a critical role in ensuring seamless transactions, exceptional client communication, and organized, compliant workflows—allowing the sales team to stay focused on growth and client relationships.
What You’ll Be Responsible For
- Serve as a primary point of contact for clients via shared email and phone lines, delivering timely, professional, white-glove service
- Prepare, review, and manage all transaction paperwork (listings, offers, amendments, and related documents) with accuracy and attention to detail
- Coordinate property showings, confirmations, feedback, and calendar management
- Upload and manage documents across required platforms and systems
- Track transactions from conditional stages through closing, liaising with lawyers, mortgage brokers, cooperating agents, and clients
- Maintain organized digital files, checklists, and CRM records; assist with basic reporting as needed
- Handle sensitive and confidential information with professionalism and discretion
What We’re Looking For
- 2+ years of Real Estate administrative experience
- Strong written and verbal communication skills with a client-first mindset
- Exceptional organization and ability to manage competing priorities in a high-volume environment
- Comfort using Google Workspace and/or Microsoft 365
- Experience with e-signature tools (e.g., DocuSign), showing platforms (e.g., BrokerBay), MLS input, and CRMs (e.g., Sphere/BoldTrail or similar) is an asset
- Reliable, proactive, solutions-oriented, and professional
- Ability to work on-site Monday–Friday, 9:00 a.m.–5:00 p.m.
- Sound judgment and strict confidentiality are essential
Compensation & Professional Growth
- $65,000 base salary
