The J&B Team is seeking an energetic, licensed Real Estate Administrative Assistant to play a critical role in maximizing our team's productivity and success. What You'll Do:
- Administrative Support:
- Manage calendars, schedule appointments, coordinate team meetings, and proactively handle scheduling conflicts.
- Maintain comprehensive office organization and ensure efficient workflow.
- Assist in preparing listing and buyer packets, ensuring accuracy and completeness.
- Provide exceptional clerical support, including data entry, document preparation, and maintaining client files.
- Agent & Team Support:
- Be a resourceful and approachable point of contact for agents, assisting with their daily needs and helping streamline their activities.
- Facilitate smooth team operations by anticipating needs, responding promptly to requests, and proactively solving problems.
- Support and coordinate team-building activities, meetings, and training sessions.
- Event Coordination:
- Plan, organize, and execute team events, open houses, client appreciation gatherings, and training seminars.
- Coordinate logistics including venue arrangements, catering, guest communications, and material preparations.
- On-the-Ground Assistance:
- Run occasional errands related to listings, including delivering signs, lockboxes, and marketing materials to properties.
- Coordinate property access for photographers, inspectors, appraisers, and other real estate service providers.
- Ensure timely placement and removal of property signage and marketing materials.
- Communication & Client Service:
- Handle incoming communications (phone calls, emails, texts) with exceptional professionalism and responsiveness.
- Provide outstanding customer service to clients, responding promptly to inquiries and requests.
- Maintain positive relationships with clients, colleagues, and industry professionals.
- Financial & Software Management:
- Utilize Google Workspace for collaborative document creation and organization.
- Maintain accurate financial records and perform basic bookkeeping tasks using QuickBooks.
What We're Looking For:
- Active Real Estate License required.
- Proven administrative or real estate support experience preferred.
- Highly organized, detail-oriented, and excellent at multitasking.
- Proficiency in Google Workspace, QuickBooks, and CRM systems.
- Exceptional communication skills (written and verbal).
- Friendly, professional demeanor, and superior client service skills.
- Reliable transportation and flexibility for occasional property visits.

Pay: $24,960.00 - $58,844.93 per year
