Responsibilities include but are not limited to;
Front‑of‑House & Client Experience
- Warmly greet clients, families and visitors, ensuring a calm, inclusive and supportive first impression.
- Manage check‑in and check‑out processes for appointments.
- Support children and adults who may require additional sensory or emotional regulation while waiting.
- Maintain a quiet, organised, and sensory‑considerate reception environment (e.g., avoiding loud noises, supporting visual schedules where needed).
- Manage incoming calls, emails and appointment bookings as required with professionalism and clarity.
Administrative Support
- Support clinicians with room bookings, session rotas and documentation processing as required.
- Manage incoming post, deliveries, and general facility enquiries.
Facility Support
- Ensure therapy rooms, waiting areas and reception spaces are tidy, organised and stocked (e.g., sensory tools, stationery, information leaflets).
- Support operational tasks such as ordering supplies or reporting maintenance needs.
- Follow all safeguarding, health & safety and infection‑control procedures.
- Liaise with families, clinicians, external agencies and partners in a supportive and professional manner.
- Escalate concerns or urgent matters appropriately to the Lead Clinician / Facilities Manager as appropriate.
- Participate in team meetings and contribute to continuous improvement of services.
- Experience Required
- Previous experience in reception, customer service, administrative, or healthcare/educational/therapy settings.
- Awareness of neurodiversity (e.g., Autism, ADHD, developmental differences).
- Strong interpersonal skills with a warm, calm, patient communication style.
- Ability to work sensitively with neurodivergent children, young people, and adults.
- Excellent organisational and multitasking skills.
- Excellent telephone manner, with confidence speaking to patients and families in a professional and empathetic way.
- Proficient in MS Office and clinic management systems (or willingness to learn).
- Ability to handle confidential information discreetly.
