Overview:
The Receptionist is the first point of contact for guests at The Killarney Park Hotel and plays a vital role in delivering a warm welcome and outstanding guest service. This position involves managing check-ins and check-outs, responding to guest inquiries, and coordinating closely with all departments to ensure a seamless guest experience. The ideal candidate will be friendly, professional, and detail-oriented, upholding the hotel's exceptional standards at all times. This is a fixed term contract up to the end of October 2026.
About The Role
Key Responsibilities:
Guest Service Excellence
- Greet and welcome all guests in a warm, friendly, and professional manner.
- Carry out efficient check-in and check-out procedures using the hotel's reservation system.
- Address guest inquiries, requests, and complaints promptly, ensuring guest satisfaction.
- Ensure guest records and reservation details are accurate and up to date.
Front Desk Operations
- Manage incoming calls, emails, and correspondence in a professional and courteous manner.
- Handle guest reservations and room allocations, coordinating with other departments as necessary.
- Maintain the reception area, ensuring it is clean, tidy, and presentable at all times.
- Process payments accurately and in line with hotel policies, including handling cash, credit cards, and billing queries.
Communication and Coordination
- Liaise with housekeeping, maintenance, and other departments to coordinate room readiness and guest requests.
- Report any issues that may affect guest comfort or safety to the appropriate department immediately.
- Ensure clear handovers between shifts, noting any special guest requests or incidents.
Guest Experience Enhancement
- Promote hotel services and facilities, encouraging guests to dine in the restaurant, book spa treatments, or participate in local activities.
- Provide local information and recommendations for dining, attractions, and entertainment.
- Assist with special requests, including room upgrades, wake-up calls, luggage assistance, and transportation arrangements.
Administrative Support
- Maintain accurate records of bookings, guest feedback, and incident logs.
- Assist with administrative tasks such as printing, photocopying, and filing.
- Monitor stock of reception supplies and notify management when replenishment is needed.
Health and Safety Compliance
- Follow hotel policies regarding emergency procedures, safety, and hygiene standards.
- Maintain awareness of fire evacuation routes and health and safety protocols.
- Support a safe environment for guests and staff by reporting hazards or concerns promptly.
Working Hours:
As per the rota provided, including weekends, evenings, and public holidays, in accordance with business demands.
Working Conditions:
This role requires standing for extended periods and working in a dynamic, guest-facing environment. The position demands a high level of professionalism, the ability to multitask under pressure, and strong interpersonal skills to deliver exceptional guest service.
