1. Greeting and Welcoming Visitors

  • First Point of Contact: Receptionists are often the first person visitors or clients interact with when they enter the building. They offer a warm welcome, provide information, and guide visitors to the appropriate departments or individuals.
  • Sign-In/Visitor Log: Ensure visitors sign in and out for security and organizational purposes.

2. Managing Incoming Calls

  • Answering Calls: Receptionists are responsible for answering phone calls, directing them to the appropriate person or department, or taking messages when necessary.
  • Handling Inquiries: Provide basic information about the business, such as hours of operation, location, or services offered, and handle any routine requests from callers.

3. Scheduling Appointments and Meetings

  • Booking Appointments: Receptionists schedule and confirm appointments for clients, customers, or staff, managing calendars efficiently.
  • Meeting Room Management: Reserve and organize meeting rooms, ensuring necessary resources (e.g., projectors, seating) are prepared.

4. Managing Mail and Deliveries

  • Sorting and Distributing Mail: Receptionists sort incoming mail, packages, and deliveries, ensuring they are forwarded to the correct recipients within the organization.
  • Outgoing Mail: Prepare and send outgoing mail or packages as required.

5. Administrative Support

  • Data Entry: Perform basic clerical tasks such as updating records, entering data into databases, and managing files.
  • Managing Office Supplies: Monitor and replenish office supplies, including stationary, printing materials, and other essentials.
  • Processing Payments: In some roles, receptionists may handle payment processing for services or products provided by the business.

6. Maintaining a Clean and Organized Reception Area

  • Tidy Workspace: Keep the reception area clean, organized, and presentable, ensuring that it provides a positive first impression.
  • Health and Safety Compliance: Ensure the reception area complies with safety protocols and regulations.

7. Handling Customer or Client Concerns

  • Problem-Solving: Address customer complaints or issues, providing solutions or escalating them to the appropriate department.
  • Providing Information: Assist customers or clients with information regarding services, policies, or any concerns they may have.

8. Coordination with Other Departments

  • Internal Communication: Communicate with other staff members to schedule meetings, resolve issues, or pass on messages.
  • Assisting with Staff Requests: Receptionists often support other employees with administrative tasks such as photocopying, printing, or data collection.

9. Security and Safety

  • Monitoring Access: In some environments, receptionists may monitor access to the building, ensuring that only authorized individuals enter.
  • Emergency Procedures: Receptionists are often trained in emergency procedures and are expected to assist in situations like evacuations, medical emergencies, or security issues.

10. Record Keeping and Documentation

  • Updating Records: Maintain up-to-date client, customer, and visitor records, sometimes including appointment logs, guest lists, or inventory.
  • Handling Confidential Information: Receptionists may be responsible for handling confidential documents or information with discretion.

11. Multitasking and Ad-Hoc Responsibilities

Salary Package : 10000 to 15000

Working location : ammancoil road, opposite KSRTC, 100M distance from south railay station

Offie timing : 9am to 6pm
