About the Role
The Receptionist & Sales Coordinator is the heartbeat of our sales team and plays a critical role in delivering an exceptional client experience.
You’re the person who keeps things moving — supporting our sales reps, ensuring our clients feel informed and taken care of, and making sure no detail falls through the cracks. You love follow-ups, clean systems, and helping people get answers quickly.
This role blends customer support, sales coordination, and systems discipline. If you like being the hub, keeping things organized, and making life easier for everyone around you, you’ll thrive here.
This Role Is Perfect If You Love:
- Supporting the sales team by managing customer inquiries via phone, email, and chat
- Helping guide customers smoothly through the buying process
- Obsessing over follow-ups and making sure people always hear back
- Keeping customer records, notes, and transactions clean and accurate in our CRM
- Preparing and sending quotes, invoices, and sales documentation
- Coordinating product deliveries with logistics and operations teams
- Helping organize and execute epic sales events and promotions
- Collaborating closely with marketing to ensure consistent, on-brand communication
- Thriving in a fast-paced environment while maintaining strong attention to detail and prioritization
Systems & Process Ownership (This Matters):
- This role is expected to not only follow systems, but also actively help improve them as we scale.
- Maintaining accurate, up-to-date information in our CRM (GoHighLevel or similar)
- Ensuring customer communications, quotes, and follow-ups are properly logged
- Supporting clean handoffs between sales, operations, and logistics
- Flagging gaps or inefficiencies in processes and helping improve them
- Protecting data accuracy — because good systems = great client experiences
Do you have:
- Previous experience in sales support, customer service, or a related field.
- Excellent verbal and written communication skills.
- Strong organizational skills with a keen eye for detail.
- Proficiency and experience using one or more CRM systems.
- Ability to work independently while remote and also as part of a team.
- A passion for building, design, or outdoor living is a plus.
