About the Company

Master Fire Duct Cleaning is a family-owned commercial hood and duct cleaning company serving restaurants and commercial kitchens throughout New York City. We are looking to add a second office team member to support daily operations and help keep the office organized and running smoothly.

This position will work directly with our existing office staff and assist with scheduling, customer communication, and general administrative tasks.

Responsibilities

The Office Assistant will help with a variety of administrative and clerical tasks, including:

  • Answer incoming phone calls and assist customers professionally
  • Schedule service appointments for commercial hood and duct cleaning
  • Call customers regarding payments or outstanding invoices
  • Enter customer and service information into the company computer system
  • Update customer records and maintain accurate files
  • Organize and file invoices and office documents
  • Perform data entry, scanning, and document organization
  • Send emails and assist with customer correspondence
  • Use Microsoft Outlook to manage calendars and appointments
  • Maintain a clean, organized, and efficient office environment
  • Assist with general administrative tasks as needed

Qualifications

Ideal candidates should have:

  • Proficient in Spanish conversation-
  • in order to be on the phone W/ Spanish Speaking Customers
  • Basic computer skills
  • Ability to use email and Microsoft Outlook calendar schedule appointments
  • Good organizational and communication skills
  • Attention to detail and ability to follow instructions
  • Professional phone manner
  • Ability to multitask and stay organized in a small office environmentPrevious administrative or office experience is helpful but not required.

Compensation

  • $19 per hour,
  • Part-time schedule (hours to be discussed during interview)

Work Environment

  • Small office environment
  • You will be the second person in the office, working closely with the existing office staff member
  • Friendly, family-owned company atmosphere
