School Administrator

Position Reports To: Executive Administration

Primary Function: The Assistant Director is responsible for supporting the Director

in the oversight and management of Holistic Life Schools. This position is

responsible for scheduling, managing, and supporting all peacekeepers with

lesson planning, classroom environment (indoors & outdoors), safety, and

professional development. The Assistant Director will guide and support

peacekeepers in the implementation of HLS’ philosophy and mission.

Essential Responsibilities

Daily Operational Duties

1. Manages staff and oversees daily operations.

2. Maintain and support safety, supervision, and program components of HLS.

3. Create, manage, and maintain scheduling of staff to ensure ratio always

complies with school and state guidelines.

4. Oversee facility maintenance and ensure it is safe and clean.

5. Solve day to day challenges

6. Create, manage, and maintain a positive work climate conducive to the vision of

HLS.

7. Maintain licensing regulations and procedures with City of Virginia Beach and

State of Virginia Child Care Licensing Division, Virginia Quality and accreditation as

required.

8. Collect, maintain, and audit peacemakers’ registration, records, and orientation;

(as required by Virginia State and all accreditation guidelines).

9. Build rapport and positive relationships with staff, parents, and children.

10. Communicate with parents via email, phone, and in person.

11. Maintain and update CRM daily.

12. Ensure the supervision, safety and well-being of peacemakers inside and

outside of the classroom throughout the day.

13. Manage petty cash and cash log.

14. Use recording and accounting systems to collect and manage tuition payments

15. Maintain communication with parents as needed through the Brightwheel app,

phone, emails, parent-teacher conferences (when necessary) etc..

16. Order peacemakers’ lunch weekly and post monthly lunch menu electronically

17. Manage community activities (i.e. on-campus and off-campus (library) field

trips, marketing efforts etc..)

Management, Supervision, and Record Keeping Duties

18. Manage staff schedules, schedule changes, and time off.

19. Schedule and conduct staff meetings

20. Support, guide, and train peacekeepers in utilizing various assessment tools

(i.e. observation, documentation, data collection, work samples, photos, videos,

and other methods) to assess peacemakers’ developmental skills and progress.

21. Recruit & interview potential staff

22. Onboard new staff. This includes all state required onboarding such as

background checks, fingerprinting, etc.

23. Conducts performance evaluations and feedback. (Coaching, 90 Day, Annual,

etc)

24. Provide weekly reports and updates to administrative team.

25. Teach, train, and provide staff with HLS policies and procedures

26. Manage staff reimbursements

27. Lead and participate in peacekeepers’ MTSS meetings.

Admissions, Enrollment, and Community Duties

28. Communicate with potential parents via phone, online and face to face

29. Assist with enrollment process (i.e. communicate with parents, schedule tours,

schedule trial days, and log data in CRM).

30. Schedule and conduct tours via the CRM

31. Enroll students using school procedures

32. Find and develop relationships with local community partners.

33. Research and attend community events that will boost and grow the school’s

visibility in the community. (A minimum of 2 events per quarter). Event(s) will be

submitted to administration and added to the calendar.

34. Plan, host, assist, attend, and participate in HLS special events. (In-reach and

Outreach Events). There is a minimum of one (1) outreach event per quarter and

three (3) major in-reach events per school year.

Policy, Procedure, and Compliance Duties

35. Ensures that facility and staff adhere to all state and local regulations including

accrediting organizations (i.e. Department of Education, Virginia Quality, Cognia,

NAYCE etc..)

36. Plan, schedule, and facilitate evacuation drills such as fire drills and ‘shelter in

place’ as required by the State of Virginia Child Care Licensing Division.

37. Collect, maintain, and audit peacekeepers’ records, training, observations &

evaluations (as required by Virginia State and all accreditation guidelines).

38. All records requirements under Daily Operational Duties

Pedagogical Responsibilities to Staff and School

39. Supervise and support peacekeepers in developing and implementing rich and

innovative lesson plans.

40. Collect, maintain and review assessment data with the peacekeepers,

curriculum specialist and director.

41. Assist peacekeepers and curriculum specialist with using assessment

information to set individual peacemakers and classroom goals.

42. Assist peacekeepers, with scheduled family conferences throughout the year.

43. Oversee all classroom lesson plans weekly and their connection to assessment

goals for peacemakers.

44. Train peacekeepers to utilize resources for observation, documentation, and

planning.

45. Assist peacekeepers with data-driven instruction using diagnostic and

continuous assessment tools.

46. Effectively communicate, plan, and evaluate peacemakers’ progress with

peacekeepers while communicating with families about peacemakers’

development, skills and goals.

47. Set and evaluate professional goals, professional growth, lead- teaching

responsibilities and performance with director, yearly.

Training and Professional Responsibility

48. Participate in a minimum of 16 hours of profession development each year

with onsite training and community workshops, seminars, and conferences.

49. Develop semester smart goals for their individual role, peacekeepers, and

entire school.

Qualifications & Skills

1. Commitment to the mission, vision, and core values of the HLS.

2. Create and maintain strong cooperative relationships and work cohesively with

classroom team, other preschool peacekeepers, HLS peacekeepers, and

volunteers.

3. Demonstrate flexibility with scheduling, lesson planning and thinking.

4. Knowledge of Virginia Department of Social Services-Community Care Licensing

Division.

5. Ability or willingness to handle a variety of animals including amphibians,

mammals, arthropods, and reptiles.

6. Ability to gather, memorize and recall facts, figures, and information.

7. Ability to move up to fifty pounds and set up equipment.

8. Ability to make independent decisions and respond to immediate needs of

peacemakers, emergency situations, and program needs.

9. Ability to work outside in a variety of weather conditions and temperatures.

10. Regular, reliable and punctual attendance is essential because of quality

continuity.

11. Ability to interact positively and successfully with leads, peacekeepers,

peacekeepers’ families, and peacemakers.

12. Fingerprinting will be required.

13. Computer (Macintosh and Microsoft Office) experience required or willingness

to learn.

14. Communicate effectively in the English language, in both oral and written

forms.

15. Understand and carry out oral and written instructions in an independent

manner.

16. Understand and apply pertinent personnel policies, laws, rules, and

regulations.

17. Possess and maintain First/AID and MAT Certification

Education, Training, and Experience Requirements

1. Bachelor’s degree from a four-year college or university with major course work

in early childhood or child development education is desired. Administrative units

(3) required.

2. Minimum of 24 units of Early Childhood Education or related field.

3. Health, Safety and Nutrition class (3 units) desired.

4. Possession of Child Development Permit-Site Supervisor level or higher.

(Maintain active Child Development permit status while employed).

5. Five years of experience working in the early childhood in preschool type

setting, administrative experience desired.

6. Demonstrated understanding of principles of early childhood development,

preschool operations and peacekeepers supervision.

7. Any additional trainings required by the state, curriculum or Executive

Administration

8. Excellent interpersonal skills: the ability to interact and work effectively and

cooperatively with peacemakers, families and co-workers.

9. Demonstrate an understanding, patient, receptive, and positive attitude toward

peacemakers, their families and co-workers.

Job Type: Full-time

Pay: From $55,000.00 per year
