Overview
We are seeking a dynamic and highly organized Secretary to join our team! This vital role offers the opportunity to support our office operations, ensure seamless communication, and provide exceptional administrative assistance. You will play a key role in maintaining efficient office workflows while supporting management and staff with a variety of clerical and administrative tasks.

Duties

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems to handle incoming calls efficiently and courteously
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Perform data entry, proofreading, and document management using Microsoft Office and Google Workspace tools
  • Schedule appointments, manage calendars, and coordinate meetings for staff and executives
  • Handle incoming correspondence, emails, and inquiries with promptness and professionalism
  • Support bookkeeping activities using QuickBooks or similar accounting software as needed
  • Provide customer support by addressing client questions or concerns promptly and effectively
  • Assist with office management tasks such as supply inventory, ordering materials, and maintaining office equipment
  • Support personal assistant duties including calendar management, travel arrangements, and task prioritization

Experience

  • Proven experience as a secretary, administrative assistant, or in a similar clerical role within an office environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a busy setting
  • Demonstrated experience handling multi-line phone systems and providing exceptional phone etiquette
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Prior experience in office management or medical/dental reception is a plus
  • Familiarity with bookkeeping software such as QuickBooks or similar financial tools is advantageous
  • Strong typing skills with attention to detail for proofreading and document accuracy
  • Exceptional customer service skills with a friendly demeanor and professional attitude
  • Ability to manage time effectively while juggling multiple responsibilities in a fast-paced environment
