Activ8 Solar Energies is Ireland's leading solar and renewable energy company. As we continue to expand our energy efficiency and retrofit services, we are seeking a Senior Retrofit Coordinator to support the delivery of our One Stop Shop (OSS) retrofit programme across Ireland.

About the Role

As a Senior Retrofit Coordinator, you will play a pivotal role that sits at the centre of our Sales and Operations functions, ensuring that retrofit projects are delivered efficiently, accurately and in line with SEAI requirements.

You will take ownership of the end-to-end coordination of retrofit works, from post-sale through survey, installation and grant completion, acting as the key link between internal teams, customers and external contractors.

Key Responsibilities

• Manage retrofit projects from pre-survey through installation to post-works completion, ensuring smooth delivery from contract signing to homeowner pack completion.
• Coordinate surveys, installations, contractor schedules, and project timelines while maintaining accurate project updates in Salesforce.
• Act as the primary liaison between Sales, Project Managers, and external contractors, ensuring effective communication and project progression.
• Follow up on survey dates, Scope of Works (SOW), installation updates, and contractor deliverables, escalating issues where necessary.
• Validate pricing, subcontractor costs, deposits, contract details, project variations, and key progression milestones.
• Coordinate project variation handovers to Sales for re-quoting and support process improvements, reporting, and compliance requirements.
• Maintain accurate project data and documentation across Salesforce, SharePoint, and the SEAI portal.
• Manage post-works compliance, including collection of certificates, Declarations of Works (DOW), BER documentation, SEAI grant submissions, and homeowner pack delivery.

Skills & Experience

• Proven experience in retrofit coordination, construction administration, or project coordination within the construction, energy, or home retrofit sectors.
• Experience working with OSS/SEAI schemes is desirable.
• Strong background in coordinating external subcontractors and internal installation teams.
• Proficient in CRM systems, with Salesforce experience highly desirable.
• Experienced in SharePoint and document management systems.
• Highly organised with strong attention to detail and the ability to manage multiple projects simultaneously.
• Excellent communication and stakeholder management skills, with the confidence to engage with both internal teams and external contractors.
• Commercially aware, with experience managing pricing, margins, and project variations.
• Proactive and solutions-focused, with a proven ability to identify issues and keep projects progressing efficiently.
