The Opportunity: Based at the Waikato branch, we are currently seeking a Branch Administrator to provide administration support to the branch including service invoicing and payroll processing; reception and phone enquiries; customer service support and general administration duties as required.

Key Responsibilities:

  • Complete invoicing in a timely and accurate manner through ensuring all Purchase Orders have been raised correctly, physical invoices are received with accurate costs and any outstanding Purchase Orders are followed up and closed out.
  • Regularly monitor work in progress (WIP) and ensure processes are in place and adhered to that allow for timely and accurate invoicing of work; including but not limited to, Service, Warranty, Rental, PDI & SBH
  • Coordinate and prepare weekly payroll information ensuring all timesheets are entered in time for the pay run for the payroll team to process.
  • Monitor and record any cash sales transactions and carry out reconciliations out as required.
  • Manage and co-ordinate Regional/Branch H&S Committee & Toolbox meetings; prepare and distribute minutes in a timely manner.
  • Contratactor Management – onboarding and inductions.
  • Order employee PPE, office supplies & merchandise as directed by manager.
  • Ensure ALL safety training, licences & certifications are current
  • Collate and enter data into the various mainframe computer systems ensuring accurate information is entered and kept up to date.
  • Maintain and grow relationships with customers both internal and external ensuring a professional manner is maintained at all times providing exceptional customer service using Komatsu’s Customer Support
  • Work effectively with other departments, branches, and regions to establish Komatsu NZ as a premium supplier of equipment and aftermarket services.
  • Support, attend and contribute to company/branch/department/regional activities.
  • Continually recommend opportunities for improvement to your manager where possible
  • Carry out general clerical and Adhoc duties as required

What we are looking for:

  • Proven administration experience in a similar role
  • Experience of working in a similar industry is desirable
  • Knowledge and practical experience using multiple systems
  • The use of SAP and Microsoft Dynamics systems is strongly desirable
  • Competent with the use of Microsoft Excel, Word, Outlook, and PowerPoint
  • Strong attention to detail
  • Excellent communication skills, verbal and written
  • Organised and can handle multiple, complex tasks simultaneously
