POSITION OVERVIEW
The Service Coordinator at UV Pools will:
- Own and drive the entire service department operation
- Maximize service call bookings and service revenue generation
- Effectively dispatch and schedule service technicians
- Serve as the primary point of contact for service customers
- Ensure accurate quoting and invoicing processes (for service)
- Maintain service systems and process conformance
PRIMARY RESPONSIBILITIES Service Operations
- Answer incoming service calls and convert inquiries into booked appointments
- Dispatch and schedule service technicians efficiently across Winnipeg and surrounding areas
- Maximize daily service call volume while maintaining quality standards
- Oversee and enforce adherence to service systems and processes
Customer Communication and Support
- Serve as primary point of contact for service-related questions and scheduling
- Guide customers through service options and recommendations
- Manage customer expectations regarding service timelines and pricing
- Ensure exceptional customer service that drives repeat business and referrals
Administrative and Financial Management
- Handle all service invoicing accurately and promptly
- Oversee service proposal accuracy and effectiveness
- Maintain accurate service CRM data and customer records
- Track service revenue and call volume metrics
- Process service payments and follow up on outstanding invoices
Operational Optimization
- Coordinate with service technicians to optimize schedules and routes
- Ensure techs have necessary information and materials for each call
- Monitor service quality and customer satisfaction
- Support technician efficiency and productivity
IDEAL EXPERIENCE and EDUCATION
- 2 to 3 years of successful service coordination or dispatch experience
- Proven track record of managing service operations or customer service teams
- Experience with scheduling, dispatching, or service coordination preferred
- Proficiency with CRM systems, scheduling software, and digital tools
- Post-secondary education preferred
- Local knowledge of Winnipeg and surrounding areas is a must (to help with realistic scheduling and efficient route planning)

Hey there! We're UV Pools, Winnipeg's trusted pool renovation experts, and we're looking for a nice, kind and smart person to join our team. But first, let's be clear - this isn't your typical service coordinator job.

Our service customers need someone who can take ownership of their experience from the first phone call to the final invoice. You'll be the person who makes it all happen - booking the calls, getting our techs where they need to be, and ensuring every customer feels taken care of.

Your Day-to-Day Life Will Include:
- Answering the phone and turning service inquiries into booked appointments
- Playing scheduling Tetris to get our techs to the right places at the right times
- Being the friendly voice customers hear when they need pool help
- Making sure invoices are accurate and payments come in on time
- Keeping our service CRM updated and organized

- Has a track record of managing service operations or dispatch
- Is exceptionally organized and good with details
- Has excellent phone skills and loves helping customers
- Can explain service options and pricing in simple terms
- Is comfortable using technology for scheduling and invoicing
- Ideally has some experience in home improvement, service coordination, or similar fields (pool experience is a bonus, but not required)
- Can balance maximizing revenue with taking great care of customers

- Coordinating with our service techs to optimize their routes and schedules
- Following up on service proposals and converting them to booked work
- Processing invoices and following up on payments
- Updating customer records and service history in our CRM
- Problem-solving when scheduling challenges arise
