Service Coordinator

Black Isle Renewables is a small but rapidly expanding Renewable Energy company based in Dingwall specialising in the installation of air source and ground source heat pumps across the north of Scotland and the Western Isles. We are currently seeking to recruit to the above post within our multi-disciplinary Servicing & Projects team.

Job Purpose:

Working as part of a small team you will assist our Service department in a busy fast-paced office. The role demands a professional, mature approach, someone with excellent organisational skills and with an understanding of the importance of attention to detail. Your duties will include, but are not limited to:

  • Responding to clients queries either by phone or email and processing as required with the correct department.
  • Support the Service Manager by helping to organise the company’s reactive and planned servicing activities throughout our operating areas. Through a highly structured approach you will also assist with scheduling the servicing team’s calendars.
  • As ‘front of house’ you will be responsible for the routing of incoming calls, mail and visitors ensuring they are directed to the correct department as required.
  • You will help with issuing purchase orders, liaising with suppliers and sourcing spare parts as and when required.
  • Process the company’s servicing records adhering to procedures; controlling correspondence; assisting with the continual improvement of internal systems; booking accommodation, ferries and transport as required for the service engineers.
  • Maintain and update records for Service Plan clients allowing for effective forward scheduling of service visits and arrange service engineer’s diaries accordingly.
  • Assist the Service Manager in achieving financial objectives by helping cost management and sourcing of best value solutions from existing and new suppliers.
  • Process completed servicing reports and return to client as appropriate for warranty & compliance.

Essential:

  • Excellent verbal, written and numeracy skills.
  • Experience with use of the internet, email, Microsoft Office 365 packages.
  • Able to stay calm under pressure, maintaining a professional manner at all times
  • Be highly organised and work methodically
  • Have a flexible approach to work and a ‘can do’ mentality

Desirable:

  • Previous experience of working in a busy office environment.
  • Good understanding of the geography of the Highlands, Islands & Aberdeenshire

Personal Situation: Able to commute reliably to office base.
Hours of Work: Mon – Thu 8.30am to 5pm, Fri 8.30am to 3pm.
Holidays: 30 days per annum including 7 statutory days.
Place of work: Head Office, Dingwall, IV15 9LE

Job Types: Full-time, Permanent

Pay: £24,000.00-£26,000.00 per year
