Shareholder Administrator

For our Luxembourg operations, we are looking for a Transfer Agent specialized in Alternative Investment Funds to become an integral part of our dynamic team. We are searching for an agile and forward-thinking new hire, as the operations across jurisdictions require a highly collaborative working style.

Balancing your day with different priorities and working closely with your colleagues you'll manage the production and oversight of all aspects of closed-ended alternative investment funds and provide support to your colleagues working with the production and oversight of open-ended alternative investment funds. You will build strong customer relationships with existing and new clients, gaining insight into their needs and delivering customer-focused solutions.

These factors will provide you with the opportunity to work on challenging cases with little to no overtime. The successful candidate will demonstrate an eagerness to learn and have a flexible approach to their work.

The role:

  • Perform a range of instructions for subscriptions, redemptions, capital calls, distributions, partner transfers etc. in the transfer agency system, according to procedures in place;
  • Reconcile cash entries with capital events and promptly escalate to management and clients/asset manager any breaks or non-compliance instances (e.g. third-party payments);
  • Work closely with the AML/KYC onboarding team to ensure timely and quality maintenance and set up of funds and investors static data etc.;
  • Work closely with the Fund Accounting team to ensure timely and quality delivery of the periodical financial information to Investors (Capital Account and Financial Statements. etc);
  • Ensure adherence to internal policies and procedures and mitigate operational risk of Transfer Agency services;
  • Handle internal and external queries in a professional and timely manner;
  • Review Fund offering documents prior to Fund launch;
  • Produce periodic KPI reports for internal use and for clients;
  • Act as first line of defense and escalate any potential suspicious transactions as per the procedure and applicable laws;
  • Collaborate with colleagues across business lines and jurisdictions as required; and
  • Consistently coach and train junior team members in other jurisdictions on TA operations.


Ideal skills and competencies:

  • You possess a fluent level of English (written and spoken), as it is the internal business language, allowing you a perfect integration into the team and to clients. French will be considered an asset, as will any other language;
  • We are looking for a candidate that has at least 2 years professional experience as a Transfer Agent within a financial institution, a fund administrator or similar with exposure to open and closed ended funds;
  • Sound knowledge of Alternative Investment funds (illiquid alternative asset classes, such as private equity, private debt or real estate investment funds);
  • Basic understanding of Luxembourg fund legal obligations, compliance, tax and financial engineering would be an advantage;
  • Ability to think independently, adapt to changes in process and procedures, prioritize so as to meet deadlines;
  • Proficiency of Microsoft Office suite (Word, Excel, Outlook)
  • Excellent organizational skills with attention to detail and accuracy;
  • Excellent verbal, written and interpersonal communication skills;
  • Knowledge of the Mantra TA system would be an advantage;
