Description:
We are currently seeking a highly organised and proactive Site Administrator to join our project team at Altona. Reporting to the Project Manager, the successful candidate will play a pivotal role in supporting smooth and efficient site operations.
Key Responsibilities
Coordinate all project travel and accommodation bookings.
Manage onboarding and mobilisation requirements for project personnel, ensuring all documentation and site access needs are met.
Prepare and submit daily, weekly, and monthly reports and other required documentation to the client.
Oversee document control processes, ensuring accurate filing, version management, and compliance.
Maintain and update key project registers to support effective project delivery.
Record and distribute meeting minutes, ensuring actions are captured and followed up.
Reconcile personnel timesheets and support payroll accuracy.
Process and reconcile waste dockets, including managing Waste Tracker entries.
Raise purchase orders and reconcile invoices in line with project budgets and procurement processes.
Support the maintenance and servicing schedule by assisting with plant and equipment records.
Provide general administrative support to the project team to ensure efficient day-to-day operations.
Perform additional administrative tasks as required to support successful project outcomes.
Required Skills & Experience:
Previous experience in a similar administrative role. Exposure to the construction, oil & gas, mining or other heavy industry setting is highly regarded.
Proficient in a range of computer software, including advanced skills in Microsoft Excel, PowerPoint, Word, Outlook, and Teams.
Excellent communication and interpersonal skills.
Highly organised with strong scheduling skills and attention to detail.
A proactive team player and problem solver.
