  • Coordinate scheduling for meetings, appointments, and events to optimize team productivity
  • Oversee vendor management by sourcing suppliers, negotiating contracts, and maintaining positive relationships
  • Supervise administrative staff or interns, providing training and ongoing development opportunities
  • Handle accounts payable and receivable using accounting software QuickBooks
  • Prepare budgets, track expenses, and perform bookkeeping duties to ensure financial accuracy and accountability
  • Utilize Microsoft Office Suite (Word, Excel, Outlook) to create reports, spreadsheets, and presentations that support business operations
  • Maintain organized filing systems both digitally and physically to ensure quick access to essential documents
  • Support event planning activities for company meetings or community outreach initiatives
  • Manage multi-line phone systems with professional phone etiquette while directing calls efficiently
  • Assist with client communication efforts to enhance customer service experience

Qualifications

  • Proven experience in office administration or related roles within a small business environment
  • Strong proficiency in Microsoft Office applications, spreadsheets, and office management software such as QuickBooks or similar accounting tools
  • Demonstrated supervisory or team management experience with the ability to motivate staff effectively
  • Excellent organizational skills with keen attention to detail in handling clerical tasks and filing systems
  • Effective communication skills for client interactions, vendor negotiations, and team collaboration
  • Knowledge of bookkeeping, budgeting, payroll processing, and basic accounting principles
  • Experience with event planning and managing schedules efficiently
  • Ability to handle confidential information discreetly while maintaining professionalism at all times
  • Technical proficiency in office equipment including multi-line phones and digital communication tools
  • Prior experience in human resources functions such as onboarding or training preferred but not required
