Are you looking for a dynamic and diverse role that will allow you to apply your project management and support skills to a variety of projects? Do you enjoy working with different teams and stakeholders across the organization? Are you structured, and capable to support and problem solve across many project management domains including: planning, contract management, budgeting, scope and risk management? Do you enjoy being close into the content of the project and feeling an integral part of the investment project team? If so, you might be the perfect candidate for the project support specialist position.
Our client is seeking a specialist profile to support investment Project Managers (10-30 stakeholders, 2-3 years of duration, light on the tech side projects) with the support of the head of the project management. Projects to be supported are ranging anywhere from 15 DKKm to above 1 DKKbn, and go across construction/rebuild projects, automation projects/programmes and digital. Looking to find a resource willing to learn and quite hands on and willing to learn tools (eg. powerBI) and processes.
Support project managers through:
Project execution: on behalf of Project manager, continuously follow up on project plan, workstream progress, dependencies, milestones, actions; and adjust project plan when needed according to project governance.
Decision materials preparation: prepare materials for SteerCo meetings and Gate Passages.
Reporting in Power BI: develop and maintain standardized project management reports in Power BI and Excel
Contracts, Purchase Order and Invoice Support: Ensure invoices are In line with purchasing orders, deliverables and project plan. Manage contract setup, follow-up with procurement for contract signature. Initiate and follow up change order approval flow/signatures. Trouble-shoot on issues related to contracts, purchase orders, invoices and change orders.
Communication: Ability to communicate in a clear, simple and user-centric language both oral and written towards different layers in the organisation. Ability to create and conduct simple and user-centric presentations (PowerPoint). Ability to facilitate meetings and workshops efficiently and energizing. Able to communicate with non IT people
Problem-solving: Ability to analyze a problem, facilitate input and take action, overcome problems and create progress in the project
Project planning: Ability to create a comprehensive project plan that outlines the project scope, workstreams, timeline, milestones, governance, RACI, risks and resource allocation
Risk management: Ability to work in a structured way with Risk analysis, Cost-Benefits analysis etc. Pro-actively take actions to mitigate risks identifyed
Stakeholder management: Ability to seek insight to create a stakeholder list, analysis and plan for how to involve and inform different stakeholders. Continuously involvement and alignment with stakeholders. Ability to sense/know when stakeholder involvement and engagement is needed when unforeseen challenges appear
Qualifications and Soft Skills
To be considered for this position, you should have the following qualifications and soft skills:
Degree in finance, business administration, IT, project management or related field
Experience in project management, project support, PMO or Portfolio Management
Proficient in Microsoft Office, especially Excel and PowerPoint
Experience with Clarity, SharePoint, Power BI, Coupa and SAP is a plus
Excellent communication and interpersonal skills
Ability to work independently and collaboratively in a fast-paced environment
Attention to detail and structured approach
Problem-solving and analytical skills
Adaptability and flexibility to changing priorities and deadlines
Proactive approach and Self-Leadership
Required Skills:
Tracking, planning, following up
Knowledge of PowerBI
Knowledge of Coupa/invoices/purchasing orders management
Start date: 02-12-2024
End date: 31-03-2025
