Amazon’s International Stores People eXperience & Technology team (AIS PXT) is seeking an intuitive, well-organized, and self-motivated Executive Assistant (EA) to support a London-based Director. While this role is preferably based in London, we may consider other EU location hubs for the right candidate. In this role, you will have the opportunity to work in a dynamic community of HR professionals, other Executive Assistants, and business stakeholders who are based globally. Partnering with the SVP office and VP of PXT leadership, this EA will be a key member leading the rhythm of business and orchestration of key people initiatives globally. A high level of integrity and discretion in handling confidential information, coupled with the ability to build and maintain professional relationships with diverse stakeholders across all levels of the organization (both within and outside Amazon), is essential for this role. The EA for AIS PXT is a core member of the team, providing inputs and feedback across stakeholders and peers. This role will be a lead EA role, cascading information and actions through a globally dispersed team. The successful candidate must thrive in a fast-paced, ever-changing environment, demonstrating exceptional ability to shift priorities quickly and manage multiple tasks simultaneously. They will possess exceptional written and verbal communication skills, with the ability to complete complex tasks and projects with minimal guidance, react with appropriate urgency to situations that require a quick turnaround, and demonstrate genuine enthusiasm for looking around corners and optimizing their leaders' time. Strong cultural awareness, sensitivity, and proven success working with diverse teams across different time zones are crucial for success in this role. The ideal candidate should possess project management and process improvement capabilities and be able to identify opportunities to optimize workflows and procedures. We're looking for someone with strong problem-solving abilities who can anticipate potential challenges, develop proactive solutions, and adapt quickly to changing business needs. We're looking for someone who can anticipate needs proactively, take initiative without guidance, and maintain the highest standards of confidentiality when handling sensitive information. Key job responsibilities Key job responsibilities • Drive operational efficiency through strategic time management, meeting coordination, and process improvement initiatives aligned with business priorities • Lead stakeholder management by serving as primary point of contact and building strong relationships with internal and external partners across all organizational levels • Coordinate and execute team events including offsites, All-Hands meetings, and employee engagement activities • Provide comprehensive calendar and meeting management for two Directors, including strategic time prioritization, preparing agendas, taking detailed minutes, tracking action items and ensuring timely follow-up on deliverables • Manage end-to-end domestic and international travel arrangements, including expense reporting and compliance with company policies • Coordinate cross-functional projects and initiatives as needed to support organizational goals • Handle budget tracking, financial administration, and raising Purchase Orders as required • Draft, proofread, and edit high-level correspondence on behalf of the Directors • Anticipate potential issues and proactively develop solutions
