Your Role
Key responsibilities in your new role
- Be the personal assistant to the two Vice Presidents of Supply Chain and Production Management supporting the PSS SURF Business Lines
- Calendar Management for two managers, as well as management of personal and team mailbox (traditional mail)
- Planning and booking of meetings including many senior-management-level participants across two to three time zones Inc. room booking, as well as planning, booking and expensing of multi-regional, multi-week business trips
- Organizing team events and workshops including organization of meals, locations and planning of schedules
- Ordering and shipping of goods
- Digital document management for two supply chain organizations
- Administrative management of re-occurring department meetings such as leadership team jour fixes, focus-topic-related review meetings with outside-department stakeholders including e.g. management of agenda, follow-up on action items, meeting-related communication management (e.g. upfront reminders and documentation of meeting minutes)
- Responsibility for project-related tasks such as meeting invites, management of agenda, action item follow-up
Your Profile
Qualifications and skills to help you succeed
As a Staff Assistant PSS SPM SURF, you identify, enhance and follow specific processes and procedures to maximize the efficiency of the business related to above-described responsibilities. Also, you ensure the correct functioning of facilities, office and/or business support services.
- Relevant completed vocational / professional training of at least 3years
- Strong previous work experience as an Assistant or similar position
- Working experience in an operations environment such as procurement, supply chain, or manufacturing
- Proven capability of balancing administrative and project related tasks, with project office experience as a plus
- Self-organized and self-driven
- High sense of responsibility and accountability in a highly dynamic environment with a need of adaptability to deliver
- Flexibility and adaptability to work with different time zones
- Reliable and independent execution of administrative and project-related tasks with a limited degree of supervision
- Able to Identify key issues and patterns from partial/conflicting data
- Business-fluent in English and German and able to work in a multi-cultural, multi-time zone (global) environment
