The Strategic Operations Assistant is a new and exciting role designed to free up senior management’s time by handling operational coordination, administrative precision, and workflow alignment.
You’ll become the connective tissue between leadership, project teams, and office systems — ensuring things move efficiently, accurately, and on time.

What You’ll Do

1. Executive & Leadership Support (40%)

  • Manage key communications, scheduling, and follow-ups for the President, GM, and Operations Manager.
  • Prepare agendas, capture minutes, and track action items for leadership and strategic meetings.
  • Coordinate leadership updates, reports, and internal communication rhythm.

2. Operational Coordination (30%)

  • Support the GM with tracking COR certification, performance review documentation, and vacation schedules.
  • Maintain fleet and equipment tracking logs; liaise with service vendors as required.
  • Help manage Health & Safety documentation, site reporting, and training records.

3. Project & Estimating Administration (20%)

  • Assist Operations Manager with estimating documentation, tender file management, and trade prequalification summaries.
  • Help organize SOP documentation, Procore templates, and process improvement initiatives.

4. Systems & Continuous Improvement (10%)

  • Identify and implement small automations or efficiency tools to reduce manual workload.
  • Contribute ideas for standardizing templates, filing systems, and recurring workflows.

Qualifications

  • 5+ years in an administrative, project coordination, or operations support role.
  • Experience in construction, contracting, or project-based environments preferred.
  • Strong skills in Excel, Word, and cloud-based file management.
  • Familiarity with workflow automation is an asset.

Pay: $55,400.00-$69,652.91 per year
