Approximately 15% of this role requires the supervision of students on trips, which may include overnight/ weekend stays. Time is given in lieu of these trips.

The Study Abroad Officer is an integral part of the Student Experience Department. The aim of the role is to provide a quality support service for the Study Abroad student body in Dublin Business School. Through planning and close co-ordination with both internal and external partners the role will enhance the Study Abroad student experience at DBS. We aim to provide a positive student experience to enable all our learners to achieve their full potential. Dublin Business School (DBS) is the leading independent third level college in Ireland and provides a wide range of undergraduate, graduate, executive and professional programmes. The School is part of Kaplan, Inc., a leading international provider of higher education, professional development and lifelong learning programmes. This role will require some evening shifts, to cover later office hours throughout the academic year.
Responsibilities to the Student Experience Department:
  • To undertake the role of Student Experience Officer in DBS and, as such, to ensure that all students have equal access to the services available to enhance their student experience and academic journey.
  • To ensure the development and effective operation of the student support services and maximum promotion of these services to the whole of the student body.
  • To strive to ensure the provision of information and support to all students on academic and welfare issues.
  • Represent Student Services at internal DBS Meetings as required.
  • Maintain confidentiality with students at all times.
Study Abroad Role - Specific Responsibilities
Responsibilities of Post:
  • Plan, co-ordinate and manage all non-Academic elements of the Student Experience for Study Abroad Students.
  • These include but are not limited to:
    • Pre-arrival support for students, partner institutions and parents.
    • Accommodation bookings where required.
    • Prepare and manage a calendar of events for each Study Abroad student group including but not limited to nights out, trips, tours of the city, one off events etc.
    • Compile and manage costs for all Study Abroad cohorts in conjunction with the Head of Student Experience.
    • Ensure all events (Study tours, Co-Curricular and Social) are booked and organised as much as possible in advance of any particular group arriving in the College.
    • Plan, organise and complete registration and orientation for Study Abroad Students.
    • Manage Student and Staff Communication where required – pre-arrival, when in Dublin, and post departure.
  • Work closely with internal DBS departments, partner colleges and clients to ensure the highest standard of customer service both pre-arrival and during the students’ stay in DBS.
  • Develop and maintain working relationships across departments within DBS. Input into reports with Academic Operations in respect of Study Abroad student matters for internal and external stakeholders.
  • Input into the creation of Student Handbooks Be the point of contact, in conjunction with the Student Services Team, for Study Abroad Students when studying in DBS.
  • Promote the interests of Study Abroad students within Student Experience providing advice and assistance where required.
  • Encourage the integration of Study Abroad students into the student community and the promotion of multicultural and all inclusive events within the college.
  • Provide pastoral care and advice in dealing with Student Issues and referring them to the appropriate channels internally or externally and monitoring their progress.
  • Issues include but are not limited to welfare, accommodation, events etc.
  • Coordinate and promote entertainment/sports and other activities specific to Study Abroad students.
  • Attendance at student and induction events
  • Travel with groups when required
  • Assist with host visits from partner institutions and facilitate meetings with academics and students’ ensuring the partner college is confident in the trusted and continued partnership with the institution.
  • Understand and explore students’ and other stakeholders’ needs in order to adapt the service accordingly to ensure the usefulness or appropriateness and quality of service.
  • Work in other work areas when required and provide general assistance that the college may require from time to time.
External Representation:
  • Liaise with outside bodies, such as Please Talk, SAI, SSI and other agencies relevant to Student Life at DBS.
  • Ensure the interests of the student support services, as well as academic and welfare issues are effectively presented at Executive/Management Committee meetings.
  • Attend all relevant College meetings and committees, commensurate with the duties of the Study Abroad Officer role.
  • Sit on any internal or external boards or bodies as deemed appropriate by the Head of Student Experience.
Budgets:
  • Agree all budgetary spend sit with the Head of Student Experience.

Reporting/Marketing:
  • Prepare, plan and execute events throughout the Year within the Calendar of Events prepared by the Student Experience Team.
  • Attend College open evenings as assigned and represent the Student Services department as requested.
  • Develop educational guides relevant to the student body and other specific guides in areas such as education, welfare and disability.
  • Support the communications and electronic content to students via websites and social media.
Quality Assurance:
  • Work with academic staff and students to facilitate event management initiatives (full- time, part-time and study abroad).
  • Attend and present on services provided at Staff development presentations.
  • Produce Student Services Guide Series.
  • Assisting with key events for the college including: Themed Weeks, Open Days/Evenings, Graduation Ceremonies & Student Inductions.
  • Attend academic impropriety hearings when required.
Other Duties:
  • Flexibility is required to meet any other duties that may arise in relation to the Student Experience Officer post.
Requirements:
The ideal candidate must be able to demonstrate and possess:
  • A relevant professional qualification or equivalent experience.
  • Experience of working with young adults as well as mature students preferably in Higher Education.
  • An understanding of student welfare needs in the wider context of diversity and inclusion.
  • Experience of liaising with external and internal parties about individual support requirements.
  • Strong organisational abilities, time management and record keeping skills.
  • Good communication skills, both oral and written including report writing and presentation skills.
  • Excellent verbal and written communication skills.
  • Excellent organisational skills and knowledge and understanding of privacy and confidentiality regulations regarding maintenance of student records.
  • Ability to work independently and as part of a team.
  • Flexible working hours - including evenings and weekends, when required.
