About Roundabout

Roundabout is a Toronto-based design-build studio with 23 years of practice in residential renovations and custom homes. We work on a small number of projects at a time and take them seriously — relationships, process, and quality over volume. Our team of 10 covers design, project management, construction, and woodshop fabrication.

The Role

This is a new position, created because we’ve outgrown the informal systems that got us here.

We need someone who can hold the operational threads together — fee tracking, project administration, procurement, scheduling logistics, and business development support — so our designers and construction team can focus on what they do best.

You’ll work closely with both principals and our Senior Associate PM, and you’ll be the organizational backbone of the studio. The role is as much about communication and judgment as it is about process.

What You’ll Do

Project & Financial Administration

*Track fee burn by project phase weekly; flag any phase reaching 80% of budget before delivery is complete

*Support invoicing and financial administration alongside the Managing Director

*Maintain project files, documentation, and version control across active projects

Construction Administration

*Manage RFI logs, drawing distribution, and deadline tracking across active construction sites

*Coordinate the weekly construction look-ahead meeting: scheduling, agenda prep, and distributing the 3-week schedule

*Handle scheduling logistics — subcontractor confirmations, calendar management — so the Construction Manager can focus on planning, not coordination

Procurement

*Execute product orders and manage deliveries once selections are finalized by the PM

*Liaise with suppliers on order status, lead times, and logistics

*Maintain procurement tracking across all active projects

Business Development Support

*Maintain the BD CRM: log leads, track pipeline stage, and prompt the Design Director on follow-up timing

*Support award submissions, event coordination, and outreach logistics

*Handle content logistics: coordinate shoot scheduling, post content to social channels, and track basic engagement metrics

Principal Support

*Manage calendar coordination, meeting scheduling, and correspondence triage for the Design Director

*Own the day-to-day administrative tasks that currently fall between senior roles

Who You Are

We’re hiring for organizational instinct and communication skills, not industry experience. The right person for this role probably:

Experience in a design, architecture, construction, or creative studio is a plus, but not a requirement. We’ll teach you what you need to know about how we work.
